We are looking to hire a part-time Admin Assistant whom is detail-oriented, highly organized, someone who has exceptional communication skills and can effectively operate in a fast-paced, team environment.
QUALIFICATIONS
Previous Administrative experience
Communication and interpersonal skills to communicate effectively, both verbally and in writing
Ability to multi-task with demanding timeframes; time management skills to prioritize and meet deadlines
Ability to work independently with minimal supervision
Ability to collaborate successfully in a team environment and as an individual contributor
Attention to detail and accuracy in all work tasks
Knowledge of office management procedures and basic accounting principles is preferred
High school diploma or equivalent; college degree preferred
Satisfactory conviction history background check
DUTIES
Proficient in Excel, Word, and Outlook
Answer and direct phone calls
Develop and maintain a filing system
Prepare invoices for design team
Account for invoices sent, outstanding, and paid for on Excel spreadsheet
Provide general support to visitors
File and organize documents, both physical and electronic
Strong multitasker - Handle multiple projects
Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing
and expediting orders for supplies; verifying receipt of supplies
Carry out administrative duties such as filing, copying, binding, scanning, etc.
Develop and update administrative systems to make them more efficient
Maintain computer and manual filing systems
Maintain vendor and client contact lists
Handle sensitive information in a confidential manner
Receive, sort, and distribute the mail
Photocopy and print out documents on behalf of other colleagues
Provide polite and professional communication
Perform other duties as assigned
