JOB SUMMARY STATEMENT: Performs responsible administrative and customer service duties while supervising staff and operation of the front counter of the 50+/Community Center. Assist Administrator with planning and coordination of recreational events, trips, and programs for senior adults.DUTIES AND RESPONSIBILITIES:
Oversees the front counter operation by training, supervising, and evaluating front counter staff and volunteers.
Facilitates inquiries from the public, by answering questions and providing information whenever possible, referring to appropriate staff or resources when necessary.
Monitors the daily meal and transportation reservations and cancellations. Monitors client registration and daily recordings of meals entered into the computer in compliance with the Mid-America Regional Council policies and procedures. Gathers and enters data to be used in monthly reports.
Oversees facility rentals. Books and collects fees for rentals and registrations. Monitors all reservation bookings and coordinates changes with custodians and weekend attendants. Responds to inquiries about rental bookings.
Assist the Administrator with developing and promoting senior programs, activities, trips, and health and wellness services.
Inventories supplies and forms for the front counter operation.
Communicates with instructors of various scheduled classes.
Prepares the building to be opened promptly by 8 AM, Monday through Friday.
Helps maintain and update records, policies, and programming.
The above duties and responsibilities include those tasks, physical and mental requirements, visual requirements, unique physical surroundings, and mental/cognitive abilities required to perform the essential elements of the position.GENERAL QUALIFICATIONS:
Education and Special License(s)/Certifications - High school diploma or equivalent with courses in basic bookkeeping or accounting. Basic computer skills; knowledge of Microsoft Office products. Will need CPR/AED certification and food handlers permit.
Experience – Two years of experience in general office work, including at least 1 year of supervisory experience and dealing with the public.
Skills - Skill in operating personal computers and general office equipment. Knowledge of bookkeeping principles and methodology. Knowledge of general office procedures.
Mental Requirements - Ability to communicate effectively and interface with the public; comfortable working with and meeting the needs of the older population. Ability to keep sensitive information confidential. Must always act in a professional manner—ability to multitask.
Physical Requirements - Must be able to sit for prolonged periods; must be able to listen to normal conversation; must be able to walk occasionally, and use hands and fingers to operate, handle, or feel objects, tools, or controls; must be able to reach with hands and arms; must be able to have vision sufficient to see close up and have the ability to adjust focus; and, must be able to occasionally lift up to 25 pounds and transport it 15 feet.
Supervisory Responsibility - Provides direct supervision of assigned professional, technical, clerical, and volunteer staff.
