Responsibilities:The Tax Admin will take on the role of being the support system for the Tax Team.
· Keep track of due dates and assist with filing various Annual Reports, Business Personal Property Tax Returns, Business License Renewals, and UEZ Renewals.
· Keep track of and respond to tax notices, inquiries, and requests for information from tax authorities.
· Request payments for notices, extension payments, and tax liabilities.
· Manage and track e-Filing process for extensions and tax returns.
· Track and maintain K-1 distribution to outside investors.
· Process tax returns including uploading tax returns and K-1s to a portal for outside firms.
· Assist with preparing Form W-9 for various entities as needed.
· Distribute mail to tax team and property accountants.
· Maintain organized and up-to-date files, including tax returns, supporting documentation, correspondence with tax authorities, and other relevant schedules including:
o Master Payment Scheduleo Notice Scheduleo Overall Entity List, maintaining updated ownership percentageso In-house Tax Compliance Scheduleso K-1 Distribution Schedule
· Perform various administrative tasks to support the tax department, such as organizing files and documents, schedule meeting/calls, and respond to emails.
· Appropriately direct incoming calls and emails to necessary staff based on level of importance.
· Prepare and coordinate mail, faxes, and express packages.
· Perform data entry and scans documents.
Qualifications:
2+ years minimum experience as an Administrative Assistant is required, preferably at a CPA or tax accounting firm
Proactive and extremely organized
Strong attention to detail
Highly proficient in using MS Office suite including PowerPoint and Excel and the Internet to perform daily office tasks
Ability to prioritize projects and strong problem-solving skills
Good research skills and attention to detail
Ability to follow procedures and written and oral directives effectively
Exceptional written and oral communication
Personable and energetic, with a great phone presence
Ability to self-direct and recognize needs of the office and staff as they arise
