Position Description
This is a part-time position with Cedars Unitarian Universalist Church, a liberal religious community (501 (c) 3 nonprofit organization), based on Bainbridge Island. We are seeking an individual with strong office skills to work independently, handling administrative tasks that support our congregation’s members and its activities. Prior experience working for a non-profit is a plus. The ideal candidate will also have basic bookkeeping skills (or be willing to learn Quickbooks data entry).
Compensation and time commitment are negotiable and will be dependent on qualifications and experience. Compensation is expected to be approximately $26/hour for 20 hours/week. This position is expected to also include medical and retirement benefits. This position has a high degree of flexibility in terms of scheduling and includes possibilities for remote work.
Key Areas of Responsibility
Administrative Support
Handle incoming mail.
Answer the office phone and greet visitors
Maintain office files.
Prepare Order of Service for Sunday Services (Microsoft Publisher).
Enter data into church directory as needed (Breeze).
Manage church email, answering or forwarding messages as appropriate.
Schedule the use of physical and virtual spaces (Zoom).
Support Staff and Lay Leaders with Special Projects as requested.
Communications and Congregation Relations
Regularly update the church website with current program information (WordPress).
Maintain church calendar of events to avoid conflicts.
Track links to be included in publications for virtual events.
Publish regularly scheduled communications such as the newsletter, email blasts, social
media posts, and mailers. Assist in the production of materials (Flyers, Brochures, Post Cards, and other materials for distribution).
Operations Assistance
Order and maintain supplies for the office and Sunday services.
Maintain the cleanliness of the church office and schedule monthly cleaning services.
Mail accounts payable checks and monthly special collection donations to community partners.
Bookkeeping
Perform essential bookkeeping tasks.
Use computer accounting software Quickbooks to to be able to process all accounts payable and accounts receivable transactions.
Work collaboratively with the Cedars Board Treasurer, who supervises the bookkeeper’s duties, signs checks, and prepares monthly reports.
Required Qualifications
Ability to manage computer programs software and hardware.
Proficiency with MS Excel, MS Word, MS Outlook, MS Publisher, Google Calendar,
Google Docs, WordPress, Zoom, PDF creation, and QuickBooks 2023 or above.
A broad knowledge of accounting with ability to handle strict attention to detail.
Strong communication skills.
Ability to work independently and take initiative.
Good interpersonal and organizational skills.
Reliable transportation for mail pickup and bank deposits.
Ability to work well with staff, members, and the Board of Trustees.
Additional desired qualifications
Desktop publishing/graphic skills.
Familiarity with social media and other online communications tools.
Experience working with volunteers.
Ability to do simple diagnostics and fixes for office equipment and software.
Experience working in a professional office setting.
Physical requirements:
Must be able to read, write, keyboard, lift boxes and move tables and chairs.
