Information Specialist

Purpose

This position is charged with actively supporting the Health & Welfare Division by managing internal Health & Welfare client information and developing and delivering communication materials to educate and inform client employees.

Primary Role and Responsibilities

Client Service

Provide timely and accurate service to clients. Responsibilities include but are not limited to:

Work with other staff and Benefit Advisor to identify client's employee communication needs and meet those needs as identified.

Maintain and develop thorough knowledge of benefit related products represented by the agency and attend product training as requested.

Maintain thorough knowledge of regulatory issues affecting benefit plans and provide information to clients when necessary.

Maintain effective working relationships with insurance company and third-party service partner contacts.

Account Management

Implement administrative functions including both client administrative tasks and operational tasks to ensure quality services are provided. Responsibilities include but are not limited to:

Help ensure the client and its employees experience a smooth and seamless transition to the new insurance carrier and/or service provider when necessary with the creation of educational and enrollment materials.

Administrative Management

Manage data and records in a manner consistent with agency policies and procedures. Responsibilities include but are not limited to:

Post and update pertinent information to the client relationship management system for assigned block of business.

Enter client data related to periodic Benchmark Survey.

Oversee an orderly filing system in hard copy and electronic format.

Provide support for technology implementation and maintenance such as Employee Benefit Portal, Benefit Administration systems, online communication tools and surveys.

Maintain and provide updates as needed to Client's Benefit Administration Systems and/ or Employee Benefit Portal, when applicable.

Assist with other general office duties, including back-up for the front desk as necessary.

Senior Level

The Senior level for this position is differentiated by possessing and applying an advanced level of benefits administration proficiency through assignment of more challenging and complex work, operating with less supervision, and serving as a mentor and subject matter expert to co-workers.

Other Roles

Certain Specialists may be tasked with providing benefits services for individual clients as well as group clients. This position may be called upon to provide general administrative support across functional areas, as needed.

Performing these roles involves a host of duties and tasks that are too numerous and dynamic to document in detail. We also may adjust roles from time to time.

Typical Day

A Typical Day will involve updating and maintaining the integrity of the agency's client electronic records, and using agency-provided software and templates to create employee communication materials. This position will also coordinate with benefit admin vendors to create benefit administration portals. Much of this will involve a series of deadlines that must be met, requiring focus, time management and organizational skills. There will be a substantial amount of collaboration with various internal Health & Welfare team members and benefit administration vendors. Interruptions throughout the day should be expected. Most communication will come in the form of email with some face-to-face meetings, phone, text and video conferencing. This position is not expected to require travel outside the normal work site or work hours beyond a regular 8-hour day/40-hour week schedule; however, during busier seasons, some occasional overtime may be necessary.

Performing these roles well requires a diverse and demanding set of interpersonal, technical, and self management competencies. These are the most critical.

Be a Benefits Expert: Maintain a strong working knowledge of group health plans, life and disability plans. Understand individual benefit plan counterparts. Research, acquire and apply group health and wellness information to specific client needs, keep abreast of industry trends and interpret the effect of changes in the market and regulations to clients' plans. Maintain a fundamental knowledge of regulatory compliance issues/mandates regarding insurance plans, administration, testing, and compliance.

Be Good at Communicating: Be good in frequent person-to-person and occasionally group communications. Have solid writing skills for corresponding with clients and co-workers.

Be empathetic: Put yourself in the shoes of the person who is having a challenge, whether that be a co-worker or vendor and respond with patience.

Manage Stress: Apply coping mechanisms as needed when the stress of the position starts to impact behavior or mood and interactions with co-workers, vendors and clients. Be aware of stressful triggers and learn to seek support from managers and co-workers.

Minimum Requirements Education and Experience

Developing the competencies above typically involves formal education and real-world experience. At a minimum, we are looking for a high school degree, combined with at least two (2) years of hands-on experience in benefits administration or a related field.

Senior Level: To be qualified for the senior level, an individual must have an additional two (2) years of experience in benefits administration, such to demonstrate a high level of proficiency in benefits administration, client service, and working productively with co-workers and carriers. Note that staffing is based on business needs as well as qualifications.

Work Environment & Physical Demands

You will work primarily in an office environment. Physical demands include frequent listening, talking, walking, sitting standing and lifting modest payloads (rarely more than 25lbs.), getting in and out of vehicles, typing on keyboards frequently, and operating a range of office equipment. You will travel locally by vehicle frequently, and within the state and out of the start by air occasionally.

You will work primarily in an office environment. Physical demands include listening (a lot), talking, walking (approximately 10%), sitting (approximately 75%), standing (approximately 10%), lifting modest payloads (rarely more than 25 lbs.), getting in and out of vehicles, typing on keyboards (a lot), and operating a range of office equipment. You will travel frequently to client sites using your own vehicle, and occasionally within the state and out of the state by air as business demands.
