Job Overview:

The position provides high level administrative support to the Clinic Director and to provide back up to the administrative positions in the Dental division during absences or when there is a backlog of work in the facility.

Assesses and prioritizes between the functions. The person in this position needs to be highly efficient, detailed oriented, have excellent organizational skills and strong communication skills both verbal and written word. Continually multi-tasking, and work with some independence in completing assigned projects/program management. Position coordinates efforts with different departments within SEARHC and outside organizations. This is a fast-paced position with pressure and multiple demands. In the role of back-up to would have some responsibilities for maintaining records.

Responsibilities:

Provides administrative support to the Clinic Director. This includes organizing and maintaining files, taking minutes of the various departmental meetings, and preparing accurate correspondences and documents.

Assists Director with various administrative functions e.g., trainings, statistical information, departmental budget maintenance, ordering supplies, coordinating meetings, scheduling specialists, completing travel orders, and tracking CE for providers.

Assists Director in completing special projects which may include investigation, research, marketing, collection, and interpretation of data, writing reports.

Provides administrative support to the Director and Dental Managers, duties would consist of any of the responsibilities of the administrative support staff including answering the phone, scheduling appointments.

Able to travel to remote sites on small planes as needed to accomplish responsibilities.

Qualifications:

Education:

High school diploma

Associate Degree preferred

Experience:

3 years working in an office in a similar position

1 year office management

Previous experience as an administrative support for a director level position preferred

Knowledge, Skills & Abilities:

Strong interpersonal and communication skills

Excellent organizational skills

Strong grammatical skills

Ability to communicate professionally via both verbal and written word

Ability to maintain confidentiality and special attention/respect for privacy

Ability to multi-task

Analytical and problem-solving skills

Advanced knowledge of computer work-processing applications (MS Word)

Advanced knowledge of computer spreadsheet applications (MS Excel)

Advanced knowledge of computer presentation applications (MS Power Point)
