Job Description

Arizona Placement Concepts is looking for a highly motivated individual that can bring their skills and expertise into our company.

The Administrative Assistant provides general office support with a variety of clerical and administrative tasks. The incumbent will also assist with the administration of the day-to-day operations of the human resources functions and duties. This individual will be a daily assistant to and work closely with coordinators. This is a PART-TIME Position

Job Duties Include:

-Answer phones on a multi-line system, serving English and Spanish speaking clients.

-Complete State Billing

-Daily Payroll Operations

-Organizes and maintains tidiness and cleanliness of the office.

-Collect and maintain inventory of office equipment and supplies.

-Designs and implements forms for use within office by applying knowledge of software applications, and update as needed.

-Maintains files in an organized and accessible manner to include updating information, purging files on a regular basis and creating new filing systems as needed.

-File documents appropriately

-Cross-reference documents for accuracy

-Provides support for special projects to include research, compiling data and preparation of summary reports weekly and monthly .

-Accounts receivable

-Taking items to post office or other local places.

-Prepare paperwork required for new hires.

-Verify Form I-9 documentation and that forms are properly fulfilled while maintaining and updating filing.

-Process new hires, leave of absence, and terminations according to state law

-Prepare any and issue any manual checks as necessary

Requirements for this position include:

- Excellent proofreading and grammar skills

- Presenting oneself as a professional

- Knowledge and familiarity with computers (Windows)

- Clear understanding of computer software such as MS Word and Excel

- The ability to type 50+ words per minute consistently

- The ability to stay organized and work efficiently

- Able to work independently with minimal supervision following training

- Understanding and meeting deadlines

- Keeping sensitive customer or company information confidential

- Understanding the importance of detail

- Properly utilize company email, printer, scanner, fax and copy machine

Qualifications:

-Associates Degree or 3 years of Experience

-Office Experience of at least 2 years

-Ability to work effectively under pressure of deadlines

-Exposure to a high volume, and multitask work environment

-Exposure to Federal, State and local employment laws a plus but not required
