The Training Dept. Administrator provides administrative support for the Corporate Training Department to allow for their successful training efforts internally for employees and externally in meeting customer needs.

Duties:

Perform Training program administrative duties for all divisions

Issue POs for all Vendor training requirements

Code and process all Vendor invoices with correct GL codes and route to AP for payment

Work directly with Training Manager to coordinate training locations, scheduling, and training rosters with Operations and Department Managers

Manage Travel Accounts and Programs/Travel Duties

Coordinate travel by arranging airfare, lodging, and car rentals as needed in a cost effective manner through coordination of similar flight plans and rental car sharing

Work directly with Lodging/Car Rental companies within the Hugg & Hall territory to establish Direct Billing accounts and maintain those contacts

Code process all Lodging/Car Rental invoices with correct GL codes and route to AP for payment

Obtain employee feedback regarding Lodging/Car Rental companies to ensure that they are still within Hugg & Hall standards

Prepare Credit Card Reports for all Training Areas; Service, Parts, Rental and New Employee Orientation (NEO)

Use expense processing and credit card programs to create and maintain monthly reports

Review credit card charges and investigate any improper charges based on Company Travel Policy

Receive and upload credit card receipts from travelers.

Review credit card reports before submission

Perform Operator Training Scheduling Duties

Answer incoming customer calls and receiving incoming email requests for operator training

Schedule operator training classes based on instructor schedule for both company personnel and customers

Open customer orders and invoice customers

Assist customers in determining their operator training needs

Order Instructor materials based on class needs

Prepare and organize all materials for each class

Coordinate sublet Contract Instructors to meet customer training needs if not able to meet internally

Issue POs for sublet Contracted Training

Verify accuracy of sublet Contracted Training and submit for payment processing

Assist Training Manager with finding new sublet training Contractors as needed

Maintain Operator Training Records

Update LMS program and/or Excel Spreadsheets for Company personnel

Electronically scan customer records and archive to network

Create and Distribute Operator training certificates and cards to both Company personnel and customers

Qualifications:

Required Skills/Experience

Minimum 1 year of clerical experience

Excellent organizational skills

Strong communication skills “ ability to communicate at all levels

Customer service skills

Ability to work independently with minimal supervision

Ability to accomplish duties with accuracy and timeliness

Ability to organize and prioritize responsibilities

Ability to use various software and operating programs

Education

High school diploma or equivalent

Physical Demands/Environmental Conditions:

This position is an indoor office environment with a controlled climate.

This position requires sitting at a computer desk for extended periods of time with use of a computer keyboard.

This position will continuously talk, hear, and read in verbal and written communication.

This position will continuously use hands to type.
