POSITION SUMMARYDescribe the overall purpose of the job, or why the job exists.This position reports to the Projects and Infrastructure Modernization (PIM) Division Director and supports the Projects and Construction Office (PCO) at large. Under limited direction, develop, manage and coordinate a broad range of specialized operational, business services and administrative support. Applying knowledge of advanced techniques, concepts, and methods, independently manage complex administrative activities for the PIM Division Director as assigned. Responsible for managing and triaging all aspects of the PIM Division Director’s correspondence and paperwork. In support of the PIM Division Director, independently manage reports, as well as the procedures and process of record-keeping of mail, email, and other communications. Responsible for independently managing and the appropriate resources needed to ensure the accurate and timely preparation of necessary meeting materials, along with creating, editing and reviewing correspondence and presentations. Work as a team member in the PIM Division to track division action items and achieve the goals and objectives of the division, actively engaging in the continuous improvement of workflow process and procedures.

  • Expediently and effectively provide oversight for the coordination of specialized administrative activities and information. Exercising professional judgment and independent initiative, review and triage Director’s incoming correspondence, determine their significance, and plan for distribution and response. Effectively manage activities and interactions by level of priority. Interact with all levels within Berkeley Lab, DOE, the University of California, and other high-profile organizations.
  • Exercise leadership and communicate effectively and diplomatically with all levels of management, operations and scientific staff within LBNL and external institutions.
  • Take a lead role in all aspects of the PIM Division’s travel arrangements and expense reimbursements.
  • Create and compile high-quality briefing materials, meeting agendas, talking points, etc. to prepare the PIM Division Director to manage his/her activities in an organized manner. Consult with the PIM Division Director and Operations Deputy and other PIM leadership as necessary to generate material well in advance of meetings.
  • Maintain a calm and composed demeanor at all times, exercising sound professional judgment and absolute discretion in order to effectively address sensitive issues that come before the PIM Division leadership.
  • Collaborate with the Operations Deputy, and other staff members in continuously improving workflow and management of PIM and the Projects and Construction Office.
· In direct support of the PIM Division Director and Operations Deputy, assist in resolving a broad range of complex, unique, sensitive and confidential division operational and administrative issues through use of initiative, sound judgement and decision-making skills; decide on a course of action or identify and route to the appropriate resources. Respond to and ensure effective communication between the PIM Division Director, senior management, and a broad range of individuals within the National Laboratories, UC campuses and external organizations.· Participate as a member of the PIM Division in strategic planning, sensitive/confidential and related activities to meet program and business/operational needs for the department and LBNL.· Serve as prime internal consultant and external spokesperson on all matters involving administration and business services for the division. Interface with a wide variety of internal and external resources including Facilities Division, Finance (OCFO), Human Resources (HR), Environmental Health & Safety (EH&S), Laboratory Directorate, division/senior LBNL management, and other governmental agencies and organizations.· Work closely with the department to ensure the seamless provision of support services when needs require coordinated services from the Facilities administrative areas and other operational or scientific divisions.· Oversee the full range of event coordination services for external reviews, program and division reviews, operational seminars, and other conferences and high-level meetings. Serve as a liaison between the PCO and other LBNL and DOE management offices.· Manage Performance Review process. Use high level of discretion in confidential information to meet institutional goals and initiatives on time and budget. · Serve as PIM Division Property Representative. Coordinate and manage asset oversight and controls activities as primary point of contact for all division property matters.· Serve as PIM Division Timekeeper. Ensure that employee time is entered and approved prior to the sweep for each reporting period.
