Job Description:Completes a broad variety of administrative tasks for the leadership team, including but not limited to:

Manages an active calendar of appointments

Arranges travel itineraries

Arranges internal and external meetings across multiple time zones, with teleconference and video conference capabilities

Plans domestic and off-site events, including All Hands and other team related meetings

Composes and prepares correspondence that is sometimes of confidential nature

Completes expense reports

Compiles spreadsheets, presentations, documents, reports, etc.

Plans and coordinates schedules and meeting rooms

Communicates directly, and on behalf of the leadership partner

Provides a bridge for smooth communication demonstrating leadership to maintain credibility, trust, and support with senior management staff

Works closely and effectively with leadership to keep informed of upcoming commitments and responsibilities, following up appropriately

Successfully completes tasks with a hands-on approach, including drafting letters, personal correspondence, and other tasks

Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures

Serves as resource for basic company policies and procedures such as vacation and expense reimbursements

Occasionally provides administrative support to other leadership members, especially with regard to scheduling meetings and travel arrangements

Enterprise Description: Performs diverse, advanced and confidential administrative support functions including composing, signing and releasing routine but somewhat complex correspondence. Usually relieves management of administrative details; gathers, compiles and reports information relevant to/for department; may manage a number of different and often conflicting objectives, projects or activities at one time. Communicates with executives and line management to gather or convey relevant information. May be involved in high-level client contact and exposure to sensitive information, and must use considerable tact, diplomacy and judgment. Advanced administrative and analytical skills. Thorough knowledge of a variety of software programs.QualificationsRequired Skills and Experience

Recent work experience with detailed accomplishment examples and proven ability to take the initiative

Strong communication skills, both verbal and written

Strong analytical skills, able to maintain a high quality of customer service and attention to detail

Work independently, prioritize time and exceptional organizational skills

Manage multiple and conflicting objectives, projects or activities at once with minimal direction

Strong relationship building skills to communicate with internal team and executive level management to gather/convey relevant information

Strong executive support and knowledge of a variety of software programs (i.e. MS Outlook, Word, Excel, PowerPoint, OneNote, WebEx and SharePoint)

Must use considerable tact, diplomacy and judgment with confidential information
