ResponsibilitiesADMINISTRATIVE DUTIES -Scheduling/Reception:Greet and check-in patients.Verify and complete Encounter Registration entries.Arrive patient in scheduling system.Schedule patient visits using established guidelines.Notify supervisor of scheduling trends, including length of wait and unfilled appointments.Cancel and reschedule appointments as requested.Monitor waiting list for patients wanting appointments.Answer telephone calls, taking accurate messages and referring callers to appropriate resources.Process referrals and prepare required documentation, including patient folders, daily worksheets, and database information.Obtain financial clearance from Financial Counselor and notify patient of status.Inform patient of payment requirements.Verify data for completeness and accuracy.Monitor pending referrals and submit them to Medical Records if not scheduled within 90 days.Coordinate confirmation of new patients. Contact patients who are no shows as requested.Cash HandlingProcesses payments and balances cash drawer.Prepares deposits and submits reports to Internal Audit.Other DutiesMay perform general word processing and/or develops forms.May assists in preparation of Team Conference report.Cover scheduling/reception desk as assigned.May assist with preparation of meeting minutes.May cover for Financial Counselor.General:Operate and maintain office copier, fax, computer, and printer.Receive, sort, distribute, and forward incoming mail.Perform general word processing.Develop & update forms.Coordinate volunteer duties and supervise themTake and distribute team meeting minutes as requested.DEPARTMENT RESPONSIBILITIESDemonstrate initiative in problem solving related to departmental operations.Willing and able to work in different treatment areas as needed.Serve as a positive role model for staff members and students.Organize time effectively to complete projects and other assigned duties within the assigned time frames.Maintain cleanliness of equipment and work area.Maintain equipment in working order, including refilling and replacing supplies as needed.Represent area or department and its interests at assigned committees or meetings.Communicate status of pending tasks to requestor.PROFESSIONAL DEVELOPMENT AND EDUCATIONAttend mandated training sessions and department inservices. Skill in making appropriate and effective decisions based onneeds of the customer, priorities of the department, and Medical Centerand Department Policies and Procedures. Ability to work as a member of a team, including sharingknowledge, giving and receiving feedback, taking initiative to assist others,problem solving and providing an atmosphere conducive to learning.
