Title: Program Coordinator II Location: Burlingame, CA Duration: 06 MonthsJob Title: Administrative - Program Coordinator IIJob Description: •Client organization creates state-of-the-art augmented and virtual reality products - perhaps you've heard of Client Portal.•There are several thousand employees in this organization. The Client Design team makes up a little over 600 people. This design team consists of product designers, product prototypers, user researchers, content strategists, visual designers and more.•Every month, new hires join the Client Design team. They have a lot to learn about our tools, processes, culture, resources etc. That is where you come in. The Client Design Training Program Coordinator partners with the Client Design Training Program Manager to facilitate this onboarding program.Responsibilities•Identify which new hires need to attend each run of the program based on their start dates•Schedule all new hires for their onboarding sessions - this requires use of various tools including: Outlook, Cornerstone, Google Drive•Send communications to new hires•Order VR headsets for new hires and help new hires download software programs they will need.•Line up speakers to teach the onboarding classes for the new hires•Host the onboarding classes (sit in on the classes to ensure things go smoothly and to make observations on the session)•Coordinate with other orientations and onboarding programs that new hires attend•Act as the general point of contact for new hires and their hiring managers. Be available over chat to answer their questions.•Assist the Client Design Training Program Manager with implementing changes to the program. This may include scheduling changes or content changes.•(Once we return to office) Manage room bookings, catering orders, putting together swag bags, ordering materials for the classes, and other things that need to be scheduled far ahead of time.•Implement improvements to the program coordination to make it more efficient/automatic. Keep the team playbook up to date.Qualifications•3-4 years of administration or coordination experience•Upbeat, happy, positive attitude - you are the face of the program and the first impression of the Client Design organization•Able to follow somewhat technical conversations or processes•Advanced experience with Outlook and Google Drive (docs and sheets) is a must. Experience with Cornerstone is a big plus.•Able to manage multiple stakeholders•Able to multi-task and handle multiple requests at a time and manage competing priorities•Experience working on a design team is a plus.•Experience in corporate education/learning & development is a plus.•Excellent communication skills•Highly organized and detail-oriented
