Job Description

The

Facility Coordinator is responsible for assuring that the facility and therapeutic milieu run smoothly, supplies are being ordered, concerns are communicated to the corporate office, and billing, census, and research information is communicated to the appropriate department at corporate. Additionally, the facility coordinator has oversight over the intake process and makes sure the program adheres to correct policies and procedures. He/She consults with the Program Director and the corporate office regarding needs/duties to be completed and also works closely with the Program Director when any issues arise. The facility coordinator is also responsible for assuring that all activities are fitting with the Discovery Mission statement.

Responsibilities

  • Assure that the facility is fully stocked, that needed supplies—including groceries—are ordered in advance; manage related expenses to assure that unnecessary spending is not occurring.
  • Track insurance data such as days attended and days approved in order to complete insurance billing.
  • Provide feedback to the corporate office regarding any facility issues on a weekly basis by completing the Weekly Walkthrough. Schedule facility maintenance upon obtaining approval from the Program Director and/or corporate office.
  • Perform/assign safety drills monthly, completing weekly checklists to assure guidelines are met, assure facility is in compliance with licensing standards.
  • Complete temperature logs, safety logs, scale calibration log and dishwasher temperature logs regularly.
  • Sanitize kitchen daily and ensure that kitchen is stocked and cleaned daily. Collaborate with Dietitian on kitchen-related duties.
  • Oversee payroll system and report any error corrections to HR in a timely manner. Makes sure all missed or incorrect punches are adjusted by last day of pay period.
  • Maintain staffing schedule including coverage for groups and meals.
  • When applicable, assist in the hiring process of new staff with assistance of the program director, assist in completion of related paperwork and documentation, and assist in the training of these new staff.
  • Collaborate with HR in regards to hiring of new staff and maintaining current licenses/registration of staff.
  • Keep record and maintain system for online and in-house training.
  • When applicable, manage staff schedules to ensure that all shifts are covered and staff are not entering into overtime hours.
  • When applicable, participate in/conduct counseling staff performance reviews.
  • Collect credit card receipts from all staff who hold credit cards once per month and submit expense reports to corporate in a timely manner.
  • Participate in treatment team meetings on a weekly basis; keep notes and, when necessary, create the treatment team overview notes for staff review.
  • Oversee the client intake process, complete related paperwork, review and obtain signatures on all consents at the time of admission, send all necessary information to the corporate office, assign additional duties to staff as necessary.
  • Oversee the client discharge process and assign duties to counseling staff as necessary.
  • Make sure admit and discharge testing are completed at the start and end of treatment.
  • Manage client charts, ensuring new charts are opened when necessary, charts are audited and closed in a timely manner.
  • Run groups when necessary, provide oversight of groups being led by other staff and lend assistance if needed.
  • Manage the milieu and oversee client activities and interactions.
  • Attend meals in the milieu when scheduled.
  • Complete projects as directed by Program Director
  • Serve as a positive role model to staff, clients, employees, and guests through a positive, caring and professional attitude.
  • Comply with the dress code.
  • Complete tasks in a timely and accurate manner.
  • Establish and achieves realistic goals within the position
  • Maintain the confidential nature of Outpatient Programming and related activities.
  • When needed, travel to other facilities to attend trainings or provide assistance.
  • Demonstrate tact, initiative, resourcefulness, professional manner, enthusiasm, and non-judgmental attitude.
  • Perform any requested task and accept responsibilities as requested by treatment team.

Qualifications

  • Bachelor’s degree (B.A.) from four-year college or university, OR
  • Two year’s experience working within the mental health or counseling field
  • Knowledge of Joint Commission Standards and Intellex
