Job Description

The Opportunity:

Supporting the Executive Producer, Mattel Films, the Executive Assistant is responsible for general administrative support, knowledge of Mattel's administrative policies and processes, as well as communicating with internal and external partners on behalf of the Executive Producer.

What Your Impact Will Be:

  • Manage a busy schedule and calendar; the Executive Producer has multiple meetings with direct reports, colleagues and external partners.
  • Manage heavy internal and external call volume, providing clarity and priority of information to the Executive Producer for follow-up
  • Schedule weekly status meetings and other recurring meetings.
  • Process purchase orders and invoices for department expenses and assist with budget details
  • Complete and submit expense reports for EXECUTIVE PRODUCER
  • Gather project information and requests to route for EXECUTIVE PRODUCER approval
  • Arrange travel arrangements including air, hotel, ground transportation, as needed
  • Prioritize executive’s schedule based on knowledge of needs & priorities
  • Filing, phone coverage, booking meeting rooms, and supply management for internal office site needs
  • Handle multiple tasks and projects, with the ability to grow as a project management professional.
  • Communicate with the EXECUTIVE PRODUCER on a daily basis, prioritizing messages and requests that come across the desk.
  • Personal tasks including getting lunch when calendar schedule requires,
  • Interact with / collaborate with the other assistants and teams.
  • Assist broader team when necessary.

Qualifications

What We’re Looking For:

  • 5+ years film or entertainment production experience and administrative experience supporting at the executive level within entertainment industry
  • A bachelor’s degree is preferred, but not required
  • Experience working with multiple teams, internal and external
  • Ability to deal with and handle changing schedules quickly and efficiently
  • Advanced computer skills in MS Office Outlook, Word, Excel and Power Point
  • Excellent interpersonal skills, which will enable him/her to interact with a range of personalities and styles and to establish effective relationships at all levels of the organization
  • Be strongly self-motivated, decisive and able to work in a fast-paced environment
  • Be proactive and capable of working as a member of a team, as well as independently
  • The desire and commitment to take on increasingly greater levels of responsibility
  • Be trusted and loyal; able to handle confidential and sensitive information
  • Cultural sensitivity towards employees and visitors
  • Understanding of how to represent an executive office and acting with sensitivity around this
  • Ability to think ahead, anticipating important needs and meetings
  • Ability to treat external parties as true partners, understanding that their success will lead to Mattel’s success
  • Flexibility to come in early or work late as necessary
