TITLE: Wild & Scenic Film Festival On Tour Program Coordinator

TYPE: Part-time: 25 hours/week non-exempt permanent employee

LOCATION: Nevada City, CA

REPORTS TO: On Tour Sales Manager

JOB DESCRIPTION: The On Tour Program Coordinator provides stellar customer service and programmatic support to our event host partners for our 230+ satellite Wild & Scenic events around the globe, and supports our flagship festival each January. In its 13th year, Wild & Scenic Film Festival On Tour provides a turn-key fundraiser and membership drive event to other organizations providing a selection of films from SYRCLs Wild & Scenic Film Festival held each January. This position works closely with each event host to ensure their event meets Wild & Scenic standards and their organizations goals. The On Tour program is a major source of funding for the South Yuba River Citizens Leagues (SYRCL) river conservation work. SYRCL seeks an On Tour Program Coordinator with proven customer service and event management experience. The Program Coordinator is a self-starter who creates and maintains systems, is highly organized, experienced with project management and databases, and is passionate about environmental conservation. Experience with sales and graphic design is highly desirable. Work hours will be scheduled Monday-Friday 9 am -6 pm in SYRCLs Nevada City office. Occasional evening and weekend work is required.

RESPONSIBILITIES:

Oversee and execute all mechanics which keep On Tour in motion for assigned events:

Provide On Tour Partners with customized timeline, marketing materials, guidelines and procedures using a 12-week countdown

Approve event collateral, promote events online, assist curation of film programs

Provide on call event partner support

Coordinate with on-site and off-site production staff to build, ship, and ensure the timely receipt of the program disks for each tour event.

Oversee shipping of Event Kits for assigned venues and communicate with National Partners regarding WSFF On Tour.

Request, track data, and report on event evaluation.

Participate as a key staff person with Januarys flagship Wild & Scenic Film Festival in Nevada City and Grass Valley, CA.

Sales support and research.

Other duties as assigned.

QUALIFICATIONS:

Customer service: Must have a proven track record of providing excellent customer service, experience resolving customer problems with a positive attitude, and capacity to contribute to the programs customer retention efforts.

Communication: Superior interpersonal skills are essential. Much of your communications will be over the phone or via email, so clear communication, excellent phone manners, great writing skills, and empathy for Tour Hosts are all important in this role. Must work cooperatively with staff and volunteers.

Organization and project management: The On Tour Program Coordinator must be detail-oriented with strong organizational skills and ability to prioritize tasks with competing deadlines. Excellent clerical and math skills are required.

Computer Skills: Computer skills required. Must be proficient with the Microsoft Office Suite and Wordpress. Proficiency with CRMs (ideally HubSpot) highly valued. Adobe Creative Cloud experience preferred.

Event production experience is desired.

Sales experience is a plus, including marketing, experience with prospect (lead) research, cold calling, and tracking moves management.

Positive, self-motivated, and quick learning performer highly valued. Top candidates will demonstrate initiative, be conscientious, and provide follow-through on areas of responsibility. This position requires confidentiality and a sense of humor is a must. Passion for the environment and social justice is essential.

Bachelors degree or equivalent work experience required; non-profit work experience a plus.

PHYSICAL REQUIREMENTS:

This position requires frequent computer use and occasional lifting of up to 35 pounds. Must be able to sit for extended periods of time. Ability to maintain a composed and professional demeanor within a flexible (and at times noisy) work environment. COMPENSATION:

This part time position starts at $15 per hour and includes sick and vacation benefits.
