Bring your customer service skills, energy, and enthusiasm as an Administrative Assistant to a high-performing Real Estate office. The Administrative Assistant is responsible for reception and hospitality tasks as well as general office management tasks. When our clients walk into our office, be the friendly, smiling face and helping hand they need! The ideal candidate has excellent communication and multitasking skills, a positive attitude and a strong work ethic.

Responsibilities:

Hospitality and Reception

Maintain a positive attitude and energy

Handle incoming calls, forwarding and voicemail

Courteously welcome all office guests, agents, and clients

Check Office Admin e-mail, keeping inbox clear

E-mail, mail, scanning and faxing

Office Space

Open office and close office daily, per written procedures

Office supply ordering

Keeping coffee, kitchen, and other common areas neat and stocked

Schedule conference room reservations and ensure conferences rooms are clean and organized prior to all reservations

Maintaining general office cleanliness

Agents

Direct agents to relevant company resources

Onboarding and offboarding of agents

Sending collateral on behalf of agents

Assemble gift baskets and other agent gifts

Administration

Attend and take notes at monthly office meetings

Scanning and inputting documents into paperless transaction system

Check out signage and other agent resources

Assist in company projects and improvements

Assistance with company events

Advertising/Social Media

Work with Marketing on creation of collateral, updating websites, and distributing marketing materials

Professional Standards

Attend all weekly staff meetings

Dress in a professional manner at all times (business casual)

Qualifications:

Exceptional customer service skills

Professional phone manner

Overachieving attitude and enhanced work ethic

2+ years experience as a receptionist or administrative assistant

Experience with Microsoft Office and G-Suite or ability to learn

Valid California Driver's license and reliable transportation, including vehicle insurance, required to fulfill occasional needs

Salary: $13.00-15.00 hour
