TITLE: Administrative Assistant
PURPOSE AND FUNCTION: Performs receptionist, secretarial and clerical duties in support of KCFB and its executive director, officers and board of directors
CLASSIFICATION: Non-exempt part-time, 24 to 30 hours per week
REPORTS TO AND TAKES DIRECTION FROM: Executive Director
DUTIES MAY INCLUDE, BUT ARE NOT LIMITED TO:
Answer telephone calls; directs callers to appropriate person; take and deliver written telephone messages
Greet visitors
Alert executive director to issues and items needing attention
Assist in meeting and event planning, preparation and coordination
Help keep office neat, clean and organized
Maintain document files
Understand the membership benefits, discount programs and types of memberships KCFB offers; handle routine inquiries about those benefits, programs and membership types; direct other inquiries to executive director
Open, organize and distribute mail
Prepare mailings, including bulk mailings and related reports
Assist in newsletter preparation
Order and maintain appropriate quantities of office, kitchen, building and membership supplies
Operate computer programs for tasks such as word processing, e-mailing, mail merging, and spreadsheet creation
Operate and maintain office equipment such as photocopier and printer; arrange for service and repair of equipment as necessary
Coordinate travel arrangements
Run errands
QUALIFICATIONS:
Excellent time management skills and ability to multitask and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Previous administrative experience preferred
Proficiency in Microsoft Office
Experience with Google Suite preferred
High school diploma or equivalent
