Dermatology practice and product sales company is looking for a full-time full-charge bookkeeper. This position is responsible for all aspects of bookkeeping. You MUST be computer proficient and experienced with Quickbooks and inventory (required), Excel and MS Office. You must be organized and be able to multi-task, especially under pressure, and must also possess a high sense of urgency and work prioritization.
RESPONSIBILITIES (across three entities under umbrella company):
Accounts Receivable: Create and relieve client invoices and manage open invoices through credit card processing batch settlements
Accounts Payable: Understand the needs of the business and anticipate cash flow to properly code and release payments to vendors. Understand and reconcile shipping charges (multiple shipping agents) against patient and customer invoices
Payroll: Using time clock software and ADP, correctly process employee time cards for exempt and non-exempt employees
Inventory: knowledge of purchase orders and invoicing in Quickbooks a MUST.
Inventory overview, reports and ordering products, office skin products and supplements sales/ forecasting in concert with CEO, interface with website customers/vendors on sales issues when required along with other staff.
Exporting sales and inventory reports from website, warehouse, QuickBooks, Excel.
Vendor/independent contractor payments, product vendor accounts ordering, pricing, sourcing.
Sales forecasting assistance/reports provision for product ordering, ALL packaging, labels, containers, etc. in concert with others
International - import/export documents, shipping, customs, paperwork for products and technology along with office staff.
Internationally in concert with other staff - liaise with all patients, follow-ups/orders, scheduling, invoicing, pricing, negotiations/ product vendors.
Laboratories worldwide - deal with reporting/pricing/issue/reconciliation resolution.
Pharmacies worldwide - prescription refills/pricing/ordering/issue/billing resolution.
SKILLS REQUIRED:
Heavy on accounts reconciliation and problem solving
Management of tax compliance processes
Coordinate tax information and interacting with outside Controller and CPAÂ
Ability to quickly adapt to changing needs and technology
Communication - working hand in hand with controller on a daily basis
Energetic personality with the ability to work autonomously in a fast-paced and high volume environment
Excellent managerial skills: oversee office staff and external vendors
Anticipating needs of company/inventory and CEO/medical director
