THE POSITION
A medical office receptionist reports to the lead Medical
Receptionist and is responsible for basic clerical tasks such as
answering phones, greeting patients and visitors, and scheduling
appointments in a professional and timely manner.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: (This list may not include all of the duties
assigned.)
Answer multi-line phones and either direct the caller to the
appropriate party or handle the callers needs yourself.
Greet patients upon arrival, sign them in and obtain insurance
information and any other necessary data.
Provide patients with intake and new patient forms as well as
copies of our office policies and legally required documents.
Process payments from patients for co-pays and uninsured visits.
Schedule appointments for new and recurring patients based on
Physician and PA/NP availability.
Maintain hard copy patient records as well as the files stored in
the main system.
Call patients to remind them of upcoming appointments and to help
them schedule testing for off-site services.
Provide patients with support and guidance as needed.
Answer patient questions and provide assistance and directions
when necessary.
Respond to emails that arrive using our general office email
address.
Register new patients and update necessary records.
Distribute forms and paperwork to patients and then check them
over to ensure that required fields are completed appropriately.
Process bills, invoices, and patient payments in office.
Maintain confidentiality of all patient records.
Enhances the organizations reputation by accepting ownership for
accomplishing new and different requests; exploring opportunities to
add value to job accomplishments; promotes customer service excellence.
Manage inventory of necessary office supplies and coordinate
reordering.
Ensure that the waiting room environment remains quiet, calm, and
welcoming.
Uphold the positive reputation of our medical office by always
treating visitors in a friendly, welcoming, and compassionate manner.
Serves and protects the clinic by adhering to professional
standards, organizational policies and procedures, federal, state, and
local requirements, and HIPAA standards.
Other duties may be assigned, as required.
QUALIFICATIONS
Requires a high school diploma.
Medical Assistant certificate or equivalent experience such as 2
years of experience in a related field.
Ability to handle a fast-paced environment and prioritize task
based on importance.
Posses strong organizational skills.
Excellent verbal and written communication skills. Posses
exceptional interpersonal communication skills.
Able to work collectively with administrative team associates.
Excellent phone etiquette.
Able to work with minimum supervision.
Work schedule may change based on patient demand.
Excellent phone etiquette.
Ability to type 40+ wpm and have experience with healthcare
software.
Have the appropriate level of behavioral maturity and patience in
handling patients.
Have diplomacy and tact in handling difficult and irate patients.
Ability to work effectively with men and transgender women of
diverse races, ethnicities, ages, and sexual orientation in a
multicultural environment.
COMPANY REQUIREMENTS:
Must be able to pass a background check to include a 7-year
criminal, 10-year SSN & employer history reference check
Excellent interpersonal skills
Attention to detail
Must be able to work flexible schedules
Must take yearly flu shot and test for tuberculosis as required
by the Centers for Disease Control and Prevention.
