We are seeking a highly organized and experienced Senior Assistant to join our dynamic team and support our office operations.
Job Summary:
The Senior Assistant will play a critical role in ensuring the smooth operation of our office. This position requires a detail-oriented and proactive individual with excellent administrative and organizational skills. The Senior Assistant will work closely with the management team and other staff members to facilitate efficient office procedures and contribute to the overall success of our projects.
Key Responsibilities:
- Provide high-level administrative support to the company leads and office staff, including managing schedules, coordinating meetings, and handling correspondence.
- Assist in the preparation and organization of project documentation, billing, and reports.
- Maintain and update project files, ensuring all documentation is accurate and easily accessible.
- Coordinate equipment needs and process orders.
- Act as a liaison between the office and external partners, vendors, and clients.
- Handle incoming calls and emails, responding to inquiries and directing them to the appropriate personnel.
- Manage office supplies inventory and place orders as necessary to ensure the office is well-stocked.
- Support the preparation of presentations, spreadsheets, and other documents for meetings and project reviews.
- Perform other administrative duties as assigned to support the smooth functioning of the office.
Qualifications:
- Proven experience as an administrative assistant, office manager, or similar role, preferably in the construction industry.
- Strong organizational and multitasking abilities with a keen attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle confidential information with discretion and professionalism.
- Strong problem-solving skills and the ability to work independently and as part of a team.
- Knowledge of construction terminology and processes is a plus.
- High school diploma or equivalent; additional qualifications in office administration or related field are preferred.
