POSITION SUMMARY:

Perform administrative functions for Account Managers such as calling insurance carriers, creating and maintaining service cases and tasks, providing information to callers, and other functions as directed by Account Managers.

DUTIES & RESPONSIBILITIES:

Coordinate and assist the account management team by:

Setting up service cases and tasks when clients send demographic changes to account managers

Processing COBRA notification to TPAs, as necessary

Ensuring that tasks relating to demographic changes are being processed in accordance with company procedures, working with process team when issues arise and notifying account managers as necessary

Making phone calls to carriers on behalf of clients and/or account managers in order to resolve issues including eligibility, claims and billing

Conducting provider directory searches on behalf of account managers and/or employees

Preparing detailed summaries/notes inside of agency database after conversations that require follow-up or where advanced questions were answered.

Communicating with employees via e-mail or phone on behalf of account managers in order to resolve general eligibility questions such as ID numbers, effective dates, and online enrollment system walkthrough

Gathering Census information from the client or insurance carrier when comparing plan options

Answering phone line during assigned hours and/or as needed

Communicating with employees via e-mail or phone to answer general questions related to in-force benefits and/or general questions related to plan selection during new hire, qualifying event or open enrollment periods.

Ensuring prompt resolution of all client service and plan administration issues and questions within company guidelines

Representing the agency to clients, carriers, team members, and the community in a professional and positive manner

Exhibiting exceptional teamwork and customer service, and mentoring others

Staying abreast of industry, product, and legislative changes, and marketplace trends in order to maintain a competitive edge

KNOWLEDGE, SKILLS, & ABILITIES:

Ability to clearly communicate, verbally and in writing, in the English language

Excellent written and verbal communication skills

Ability to professionally interact with all staff and management members, carrier representatives, vendors, and prospects/clients

Clear understanding and desire to render excellent customer service

Skilled in the use of various computer software packages, including Microsoft Office (Word, Excel, Outlook, PowerPoint), and in the use of the Internet

Skilled in the use of general office equipment, including computer, facsimile machine, printer, photocopier, scanner, calculator, telephone, and typewriter

Ability to work overtime, and ability to travel for client and carrier meetings, as needed

Ability to learn and to increase knowledge, duties, and responsibilities

CREDENTIALS & EXPERIENCE:

High school diploma or equivalent

Valid drivers license

Two years experience in clerical support role

California Accident & Health Insurance License (or willingness to obtain)
