We are looking for a competent Office Representative to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.
Duties and Responsibilities:
-Organizing the office
-Monitor and manage inventory of office supplies; order and distribute office supplies as necessary
-Answer phone calls and direct callers to the appropriate party
-Taking and delivering messages
-Answer emails and or direct emails to the appropriate party
-Process, sort, and route incoming and outgoing mail
-Develop and maintain a filing system
-Handle multiple projects
-Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
-Creating schedules for all sites/officers
-Making sure officers are clocking in and out of their shifts/breaks
-Scheduling interviews and conducting in person interviews
-Conducting phone interviews
-Make sure officers are up to date with their certifications and licenses are current
-Daily reports for Humanity. Auditing employees clock ins and clock outs , and if employees are late.
Skills:
-Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
-Knowledge of google docs, google sheet, etc.
-Working knowledge of office equipment
-Thorough understanding of office management procedures
-Excellent organizational and time management skills
-Analytical abilities and aptitude in problem-solving
-Excellent written and verbal communication skills
-Proficiency in MS Office, Google sheet etc.
