Legal Administrative Assistant – Estate Planning/Trusts/Probate (La Jolla)

Well-established estate planning, trust administration, and probate law firm seeks experienced legal administrative assistant to provide full-time support for three attorneys in La Jolla Shores office.

Primary responsibilities:

Assist with preparation of legal documents, correspondence, and forms; proofread and format documents prepared by others

Calendar and track reminders and deadlines; coordinate and schedule client appointments

Maintain client and administrative files, both paper and electronic

Handle publication and service mailings of legal documents; prepare court and recorder filings

Prepare asset transfer documents, including deeds and entity-specific forms

Prepare monthly client billings (A/R), process payments and track office productivity

Track and pay office bills and expenses (A/P); maintain and order office supplies

Prepare and process outgoing and incoming mail, FedEx and messenger service items

Research and order public records

Greet and communicate with clients, answer phones, and process emails

Assist with banking and tracking client trust account

Skills and attributes:

Strong attention to detail with excellent organizational skills

Superior interpersonal skills with a positive, professional demeanor

Excellent spelling, grammar, and proofreading skills

Proficiency in Microsoft Office Suite (Word, Outlook, Excel)

Familiarity with Timeslips and Quickbooks

Experience with Estate Planning, Trust Administration, and Probate documents and procedures; County/State records and research; and Superior Court filings

Mathematical ability and computation skills as needed for billing and financial statements

Notary Certificate and experience as a notary public

Accurate typing skills of 60+ wpm

Ideal candidate will have a college degree and a minimum of 2 years of experience as a legal administrative assistant in an estate planning law firm
