Concierge for Luxury Rentals (Little Italy)

Wood Partners is seeking a courteous Concierge to assist in creating amazing experiences of home and community for our residents. From offering suggestions on unique cuisine selections nearby to setting up spa appointments, you will enthusiastically manage all resident inquiries in a timely and respectful manner.

By building meaningful connections and a sense of community as a Resident Concierge, you will contribute to achieving resident satisfaction and retention goals leading to possible career advancement.

Essential Duties and Responsibilities:

General administration such as filing and ensures the entire office environment is professional, clean, well-organized and meets all safety standards at all times by maintaining office operation standards.

Calls residents to ensure service request satisfaction.

Supports all resident activities.

Provide accurate information to customers, guests and residents in a courteous manner; fill all reasonable requests or requirements; anticipates their needs.

Handles all specific resident requests in relation to use of the Community Amenities.

Processes all special rental requests, e.g., Club House rentals.

Accountable for the overall cleanliness, orderliness and safety of all amenities under his/her responsibility.

Monitors activity in the swimming pool, clubhouse, fitness center, and business center after normal leasing office hours.

Sends notes to residents who have a package in the Leasing Office.

Assists with move in and move outs as they relate to parking and elevators.

Patrol the lobby and entrance areas.

Communicates building Concierge services such as laundry, housekeeping, dog walking, the receiving and distribution of packages, and all other services in the concierge service packet.

Assists residents with packages/dry cleaning/taxi reservations/printing/copying/faxing.

Develop resident activities.

Effectively communicates about the Ground Floor Project and connects the residents and public to the proper information channels.

Serves as a resource for management in the development and communication of better and more efficient resident relations.

Other duties, responsibilities and special projects as assigned.

Must also be able to perform the following computer and safety functions:

Computer

Ensure all required weekly, monthly and quarterly reports are completed accurately and in a timely manner.

Understand the computer functions and management software package and ensure all required staff is properly trained to perform their computer duties. Operate the computer and enter data as required.

Safety

Be observant for any problem that could be a hazard or potentially dangerous situation for residents, staff, guests and the public. This includes condition of pool gates, fencing, lighting, trip hazards, etc.

Required Qualifications:

Experience in the hospitality or property management industry preferred.

Knowledge of concierge, guest service, or front desk role preferred.

Proficient in Microsoft Office and social media.

High school education or equivalent.

Must possess a valid drivers license and valid insurance and must furnish own vehicle drive around the property.

Position requires the ability to read, write and speak English fluently.

Ability to accurately perform advanced mathematical functions such as calculation of percentage and rations and the ability to understand and perform all on-site management software functions.

Real estate license when required by the state.

Satisfactory completion of in-house training in leasing, computers, property management, administration and reporting is required within the first 30 to 180 days of employment. Other specific training may be required based upon property type.

Professional appearance and demeanor as this is a public facing position.

Strong organizational skills.

Excellent communication and verbal skills.

Strong customer service representation, in person, via email/text, and on the phone.

Assertiveness.

Ability to sell and promote the property.

Work Environment and Requirements:

Requires the ability to move throughout the property and the ability to climb stairs throughout the day.

Requires the ability to use general office equipment including, but not limited to, copy machines, fax machines and filing cabinets and to enter data into a computer and print reports.

Requires the individual to possess a valid Drivers license and insurance.

Requires the individual to use their own vehicle for various business-related tasks and to drive without jeopardizing the safety of prospects, residents, fellow employees or the general public. May require driving through property and to the bank for transactions.

Requires the ability to answer telephones, clearly respond to inquiries and convey messages.

Requires the ability to work any of the seven days of the week, 52 weeks per year. Due to the property staffing limitations, it is extremely critical that individuals be able to work their scheduled hours on a consistent basis and, if necessary, overtime hours when needed.
