DescriptionOfficeTeam is seeking a long-term temp to hire Front Desk/Administrative Assistant for an electrical company located in the Potrero Hill District of San Francisco! As the Administrative Assistant, the qualified candidate will work directly with and support the Project Management team and train with the Project Coordinator on site. The Administrative Assistant should also have the ability to switch gears quickly and efficiently as well as multi-task in a fast paced environment with the ability to take initiative while completing Administrative duties such as word processing, data entry, and scheduling. If you are organized, adaptable, and able to multi-task, then this is the perfect job opportunity for you!Construction or Electric Industry experience highly desired!RESPONSIBILITIES:
Provide administrative support to Project Management team with basic daily duties and projects
Greet and guide visitors at the Reception desk
Assist with all clerical support
Project Manager support; including information flow between office, field, vendors and General Contractors.
Tracking the project managers schedule for meetings, deadlines, follow ups, orders, etc.
Answer and direct telephone calls
Respond to and draft email correspondences
Requirements
Ability to handle multiple tasks to prioritize needs and expedite tasks upon request
Demonstrated flexibility to adapt to changes in procedures and job assignments
Experience with project management software is a plus, i.e. Microsoft Project, JIRA, Mavenlink, and NetSuite
1 year of business/office experience at minimum
Past experience with the Microsoft Office Suite - Word, Excel, PowerPoint, and Outlook
Proficient with database and file management
High school diploma or equivalent; BA/BS degree in business, communications, or related field preferred
Attention to detail and proven ability to follow standard procedures is a requirement
Project Coordination experience
Construction Projects experience
Project Control experience preferred
