Job Description

Your Career

This role will supportthe SVP Brand and NetSec and the VP Strategy, Planning & Ops and responsibilities include:

  • Experience in complex calendar management at the executive level including:

    • Communication with all stakeholders and executives after requested meetings are scheduled, changed or cancelled. Set appropriate expectations when deferring meeting requests.

    • Effective and efficient time management by proactively optimizing calendar, schedules on a weekly basis with marketing executives

    • Monitor key meetings for delays/changes to adjust subsequent meetings and communicate as needed

  • Collaborate with Office of CMO team on key programs and events

  • Coordinate travel arrangements, including flights, transportation, lodging and prepare and submit expense reports

  • Organize and assist with online, hybrid and in-person events (e.g., team dinners, leadership off sites, All Hands, and training)

  • Manage team distribution lists and reporting structure changes on internal systems

  • Monitor and review team purchase orders, and team expense reports, prior to manager approval (and/or act as proxy approver when needed)

  • Support systems, access, location and IT needs for managers and new employees

  • Provide project and presentation support as needed

  • Assist with management of the Marketing department budget, purchase order creation and reconciliation

  • Responsible for ordering materials, catering, giveaways, and supplies as needed

Qualifications

Your Experience

  • 5-8 years Executive Administrative Assistant experience -supporting Marketing executives and organization a plus

  • Proven ability to always maintain a high level of integrity and confidentiality

  • Travel management–experience required

  • Positive attitude and highly professional demeanor, sense of humor helps

  • Good writing and communication skills

  • Exceptional organization, prioritization, multi-tasking and time management skills

  • A proactive and assertive approach to managing tasks and responsibilities

  • Ability to solve problems and think quickly under pressure

  • Work effectively as a team player in a collaborative environment as well with EA peers and members of the greater organization

  • Be comfortable working in a fast-paced, deadline driven environment

  • Proficiency in Google Suite applications a plus
