Project and Customer Experience Representative
Job Summary
Flor Landscaping is a growing landscape construction company based in downtown San Jose. We design and build high-quality outdoor spaces including concrete, masonry, lighting, irrigation, and turf installations. As we continue to expand, we are looking for a Project and Customer Experience Representative to support our project managers behind the scenes and help maintain a smooth, organized, and customer-focused operation.
Role Overview
This role manages Buildertrend at a high level, coordinates material orders, keeps construction schedules updated, and maintains accurate project data. It supports the sales team by providing clear project status updates and start-date projections. The role also assists with client communication through RFIs, change orders, and final project care packages, contributing directly to a professional and consistent customer experience.
Key Responsibilities
Manage Buildertrend daily including project setup, scheduling, documentation, and cost tracking
Order materials and coordinate vendor needs in support of the project managers
Keep construction schedules current to help the sales team forecast project start dates
Maintain accurate job costing and input all project data correctly into the system
Prepare and send RFIs or change orders to clients with guidance from the project manager
Assist with permits, project documentation, and administrative tasks
Send the final project care PDF package to clients at project completion
Track project progress and keep internal teams aligned
Support overall customer experience through organized communication and consistent follow-through
Qualifications
Construction management degree or related field is a strong plus
Experience with construction software, ideally Buildertrend
Strong organization, follow-through, and communication skills
Ability to manage multiple projects and deadlines
Attention to detail and comfort in a fast-paced environment
Bilingual English Spanish is a plus
