This is a full time, entry level multi-task position at a fast-growing testing instruments company in South San Jose.

RESPONSIBILITIES:

Order Coordinator (50%)

Follow up Sales Orders status start from receiving customers order till the order is delivered.

Coordinate with relevant functions to ensure our delivery meet customers expectation;

Organize Contract Review, identify and forecast any abnormal issues and coordinate with relevant functions to solve problem, e.g. sales function, technical, production, purchasing, financial functions and management if necessary.

Remind/help sales to perform necessary communication with customers about payment, logistics arrangement.

Update the various information of open Sales Orders/RMA in CRM system promptly.

Get necessary shipping documents from Chamber of Commerce if applicable.

Arrange shipment both domestically and internationally by following relevant regulations especially associated with international trade.

Arrange necessary meeting for Sales Order Coordinating.

Continuously improve the efficiency of sales order execution.

Admin. HR, Financial, Purchasing Assistant and others (50%)

ïƒ Admin. Assistant

Daily office system maintenance to build a clean and welcome working environment;

Handle the company's external reception;

Planning meetings and taking detailed minutes;

Assist in the preparation of regularly scheduled reports;

Develop and maintain a filing system;

Update and maintain office policies and procedures;

Order office supplies and research new deals and suppliers;

Maintain contact lists;

Book travel arrangements;

ïƒ HR Assistant

The HR assistant duties involve a wide range of support activities associated HR, from coordinating meetings to maintaining our employee database to posting job ads. Assist in payroll preparation by providing relevant data (absences, bonus, leaves, etc.);

Properly handle complaints and grievance procedures; an important part of your role will be to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions.

Youll also assist in creating policies, processes and documents.

Coordinate communication with candidates and schedule interviews;

Conduct initial orientation to newly hired employees;

Assist our recruiters to source candidates and update our database;

Assisting with day to day operations of the HR functions and duties

Providing clerical and administrative support to Human Resources executives

Communicate with public services when necessary;

ïƒ Financial/Purchasing Assistant

Follow up A/R, A/P.

Perform basic accounting job when necessary.

Coordinate, release PO and follow up the status in system.

ïƒ Others

Assist other departments to deal with related needs;

Other works arranged by CEO.
