File Clerk

A law firm based in San Jose specializing in Family Law and Estate Planning is looking for a File Clerk who will provide administrative support to the team by assisting with filing and performing other administrative tasks. This will require you to be detail-oriented, and the ability to perform at high-levels in a dynamic, environment.

About the Job

Duties include: Responsible for maintaining a company's records. Codes, files, and retrieves records as needed and ensures system is well organized. Collect, update and maintain all legal files. Pickup Outboxes, sort correspondence, index and prepare files when requested. Will train the right candidate, some professional office experience or related work experience preferred, however not required. Ideal candidate has some prior law office experience. Responsible for maintaining a company's records. Codes, files, and retrieves records as needed and ensures system is well organized

Requirements

High school diploma or equivalent practical experience

Dependable, punctual and highly motivated

Possess a strong work ethic and team player mentality

Responsibilities

File records away in alphabetical or numerical order.

Code files for proper placement.

Retrieve files as necessary.

Ensure if files are loaned out that they come back.

Clean and maintain file space.

Manage all databases and records.

Purge old files.

Ensure no materials in files are lost.

Be able to explain filing system to others.

Proficient with Microsoft Office (Word, Excel, Outlook), etc.

Familiarity with standard office equipment (postage machine/copier).

Must obtain notary commission within 6 months of hire date.

Other ad hoc duties as assigned.

Minimum Qualifications

0-1+ years of experience in filing or any combination of education and experience that would likely provide the required knowledge, skills and abilities for this position.

Education: High School Diploma or GED equivalent
