Our well established design firm is looking to add a key leadership position in The Studio Manger. We are looking for a mature professional who likes to mix some design work into an administrative and management role. (Keeps the work interesting!)

Essential Duties and Responsibilities

General Office Management

- Process incoming and outgoing mail & packages: USPS/UPS/FEDEX.

- Order and manage all supplies

- Calendar management for Principal and office in general.

- Filing and organization.

- Coordinate with outside IT support for entire office.

- Manage Houzz account.

- Client Agreements

- Input and manage Principal billable hours.

- Manage mailing list (contacts).

- Facility management: liaise with property management for office maintenance, issues, parking, and other issues.

- Managing storage units.

- Manage vendor presentations.

- Handle other regular tasks and errands, including daily lunch pick up.

- Manage shared office spaces: stock supplies for entire office including MFLA.

Human Resources

- Support the Human Resources consultant in recruiting, performance reviews and other areas.

- On-boarding new employees: set up employee email, payroll, key, key code, etc.

- Assist in training new interior design employees and interns.

- Assist in rolling out procedures to the team and/or implementing procedures needed

- Assist in organizing team events, gatherings etc.

Financial

- Support the outside bookkeeper for general accounting needs.

- Accounts Receivable coordination:

o Prepare and send client Invoices

o Process client payments.

o Follow up on outstanding client invoices.

- Accounts Payable coordination:

o Pay all bills, including Principal personal bills.

o Manage Credit Card: tracking, payments, and other related tasks.

o Track outstanding invoices for vendors.

- Coordinate monthly time billing for all staff and clients; supervise input, prepare summaries for Principal review and editing, support bookkeeper in creating invoices.

Interior Design

- Assist with Interior Design assignments (orders, processing, tracking, delivery, install, presentation binders, sourcing, library management, site measurements, purchase packets, etc)

- Assist in managing the Interior Designer
