Wealth Management and Financial Planning Office

in Concord, CA is seeking

Full Time Office Assistant and Office Manager

Established wealth management and financial planning office in Concord, CA is seeking to fill full-time Office Assistant and Office Manager roles ASAP. The positions are currently open. These are NOT temporary positions.

Schedule: The office is typically open 9am-5pm Monday through Friday. Assistant/Manager will work approx. 40 hours per week with flexibility in start/ending times.

Our office is located at 1855 Gateway Blvd, Concord, CA 94520.

Compensation is hourly plus bonus. Starting hourly rate ranges from $16.00/hr. - $27.00/hr., depending on experience. Bonuses (annual target 10%) are based on achievement of expected outcomes and also for achieving additional goals. The Assistant/Manager will also have access to zero cost professional financial and tax planning services and investments with no sales charges or management fees. Health benefits, 401(k) with match are also offered, and paid time off are also offered.

The applicant must:

have authorization to work in the United States

be fluent in English

pass a credit check (no bankruptcies in the last 10 years and no accounts currently in collection)

pass a criminal background check (no felonies in the last 10 years)

have reliable transportation

have a smartphone with texting capability

be highly proficient with Windows computers and Microsoft Office

be a fast learner, resourceful, able to work independently

be professional and courteous at all times

be good with numbers

be detail oriented

be an excellent “people person”

A manager applicant must have above requirements and also have relevant supervisory experience

Experience in, or familiarity with, taxes, investments, and retirement plans is preferred but not required. A college degree is preferred but not required.

The following is a general and partial description of duties. Training will be provided and is paid.

Assistant Duties

1. Schedule client reviews

2. Handle general client inquiries

3. Answer phones and emails

4. Make initial and follow up calls/emails to leads in order to schedule appointments

5. Maintain/update client data in online systems (CRM, etc)

6. Prepare/review paperwork

7. Periodic outreach to clients

8. Verify transactions

9. Coordinate educational and marketing events

10. Maintain files

11. Produce reports

12. Submit weekly/monthly logs

13. Process paperwork and verify completion

14. Resolve issues that cause delays in processing

15. Document/update policies and procedures for the office

16. Handle incoming and outgoing mail

17. Other duties as assigned

Office Manager Duties

In addition to ensuring that the above duties are completed correctly and efficiently, the Office Manager will:

1. Supervise administrative staff

2. Train and develop administrative staff

3. Provide management with staff reports and updates

4. Collaborate with management to increase the efficiency and effectiveness of operations

5. Other duties as assigned
