Job Description

In support of the Universitys research, creative, and scholarly activities, the Sponsored Programs Office provides post-award financial and compliance oversight for sponsored projects. The Assistant Director for Sponsored Programs Administration acts to oversee and ensure that Cal Poly sponsored projects adhere to and comply with applicable laws, rules, and regulations, as well as University and Cal Poly Corporation policies and protocols; and serves as the primary liaison to respond to compliance, financial, and operational audits related to sponsored programs administration. The Assistant Director also works to strengthen the interface with the Pre-Award team and other departments in the Cal Poly Corporation to promote and build a customer-service based office that provides high-quality administrative services.

Reporting to the Director of the Grant Development and Sponsored Programs Offices, the Assistant Director will be responsible for the day-to-day direct management of the Contracts & Grants Analysts who oversee the post-award financial management and compliance of Cal Polys sponsored project activities. The Assistant Director provides problem resolution, guidance, and training for comprehensive sponsored and non-sponsored award management, compliance, and reporting. The Assistant Director interprets the regulations and guidelines of multiple sponsors and funding agencies with complex and broad award requirements to ensure accurate and timely financial oversight and reporting, leading efforts to balance minimization of compliance risks with the Universitys goals and mission

The Assistant Director is responsible for providing fiscal and accounting support and analysis of all sponsored projects, and acts as the primary liaison to respond to compliance, financial, and operational audits related to sponsored programs administration. The Assistant Director is responsible for developing and implementing a high-quality and visible research administration compliance program for the organization, with documented policies and procedures. The Assistant Director facilitates the Facilities and Administrative Rate agreement and Composite Fringe Benefit Rate agreement proposals.

In addition to having supervisory and operational responsibilities, the Assistant Director is a working manager and serves as a subject-matter expert in research administration. As such, the Assistant Director acts as signatory for Sponsored Programs during the Directors absence or extended unavailability; administers a contract and grant portfolio; serves as back-up within the Contracts & Grants Analyst team during peak periods and times of absences; and will be responsible for other duties as required in conformity with the level of this position.

Minimum Qualifications:

Bachelors degree from an accredited four-year university and a minimum four (4) years of experience in sponsored research administration, fiscal compliance, audit management, or a combination of these areas. A graduate degree in a related field may be substituted for one year of the required experience. Additional qualifying experience may be substituted for the required education on a year-for-year basis.

Expertise in grants and contracts management and research administration. Thorough knowledge of policies and procedures with the ability to analyze, comprehend, interpret and apply legislative information, and legal/contractual language.

Expertise in researching and analyzing information with the ability to apply independent judgment, discretion and initiative in recommending appropriate solutions to resolve problems.

Strong ability to take initiative, independently plan, organize, coordinate and prioritize work, and perform in various situations where numerous and diverse demands with time constraints and overlapping requirements are involved.

Demonstrated experience with financial accounting or financial grants management.

Demonstrated ability to analyze data and make accurate projections with the ability to compile, write, and present reports, workshops and training sessions in a clear an effective manner
