CATERING EVENT MANAGER & SALES ASSISTANT (Paso Robles)

OBJECTIVE

The ideal candidate will have a passion for food and hospitality. They will embody teamwork, positive energy, and professionalism. The Catering Event Manager & Sales Assistant will provide administrative support to Vice President of Sales & Operations in selling and planning events, as well as, lead our front of house team at off premise events with the utmost level of professionalism, respect and attention to detail.

OFFICE

General administrative duties, answering phones, returning calls, email correspondence, data entry, light errands.

Manage Google calendar with new inquiries, lost events, meetings, tastings, etc.

Prepare in house signage, décor, station/buffet design, etc.

Request quotes and set up orders for various services, goods, etc. (water, ice, printer, floral, etc.)

Prepare FOH pack out lists based on event menu, design, rental specs, etc.

Send invoices, receive and track payments, send requests for payment

Create rental orders based on event menu, venue needs, etc.

Pack out and load out for off premise events.

Prepare and manage rental orders

Set up menu proposal templates with inquiry specifications

Coordinate and attend site checks for upcoming events

Manage event photo library and vendor credits

Provide professional, warm, polished correspondence with other vendors, clients, employees

OFF SITE EVENTS

Direct Front of House staff and manage catering flow at off premise events.

Lead and assign tasks for the set up and breakdown of rental items.

Set up food and beverage stations with signage, serving items, décor, etc.

Lead pre event service meeting with FOH team to review menu, special details or questions and assign tasks

Effectively communicate with clients, guests, vendors, and kitchen/service staff to ensure a successful experience

Ensure FOH staff has met ready to work standards before clocking in

Provide service support when needed, i.e. carrying trays, setting tables, filling waters, bartending, etc

Troubleshoot logistical issues or guest complaints with the utmost professionalism

Drive catering van to/from event. Off load perishable items as needed

Be fully knowledgeable of menus, bar requirements and types of service required for each event

Perform other duties as needed

REQUIREMENTS

Self-starter with the ability to plan, set-up and breakdown small to large-scale events.

Minimum 1 - 2 years of experience in events and/or catering experience.

Minimum 1-2 years of administrative or professional work experience.

Be able to stand for up to 10 hours at a time, and carry 40lb. Comfortable climbing stairs.

Excellent computer skills, including Word and Excel in a Microsoft Windows environment.

Well organized, detail oriented and able to prioritize tasks.

Proven ability for self-leadership and works well within a team.

Able to identify and resolve problems in a timely manner.
