Mr. Tom's Countertops is seeking a dedicated and experienced Office Manager to join our team in Paso Robles. The ideal candidate will have 3-5 years of experience in a similar role within the tile, countertop, or construction industries. This role is essential for ensuring our office operations run smoothly and efficiently. Candidates should also possess a friendly demeanor so they can effectively interact with office visitors and vendor relationships.
Administrative Tasks:
Perform clerical work using software such as Outlook and Quickbooks
Answer phone calls, listen to voicemails, and manage emails
Coordinate and schedule internal meetings (daily/weekly/monthly)
Provide personalized support to employees, specifically Tom
Maintain and update the office handbook and office information
Manage contact information and organization chart
Maintain client information, processes, SOPs, tutorials, and training programs
Prepare and manage employee and business forms
Organize and maintain the filing system, including printouts for the office
Order and manage office supplies
Set up and maintain the showroom sales floor
Perform daily cleaning tasks and manage trash and recycling
Meeting and Payroll Management:
Manage weekly status meetings, including preparing agendas and to-do lists
Handle payroll each week
Mange payments (deposit checks, manage invoices, send invoices)
Sign paperwork for each client/project
Project and Material Management:
Prepare material selection sheets for jobs and projects
Assist in creating and managing change orders and estimates
Handle billing, invoicing, and payments for various projects and clients
Manage and submit paperwork needed for each project
Qualifications
3-5 years of experience in a similar role within the tile, countertop, or construction industries
Proficiency with Mac Computers, Outlook, and QuickBooks.
Experience with administrative and clerical work Proficiency in Microsoft Office suite
Excellent communication skills, both written and verbal
Strong ability to multitask; manage time effectively and prioritize tasks
Friendly and upbeat demeanor
Strong organizational and multitasking skills.
Detail-oriented with a focus on accuracy
Ability to work independently and as part of a team
Knowledge of payroll processes and administrative best practices
