Marketing director/Proposal Writer/ Administrative Assistant

Responsibilities

Lead the preparation and development of proposals, and marketing materials

Monitor public client websites for RFPs, RFQs, LOIs, etc. for public projects

For public projects, produce and maintain statement of qualifications, firm description, listing of recent public projects, professional references, and staff resumes. Coordinate and deliver marketing materials to prime contractor.

Review potential RFPs and discuss strategy with Project Managers

Take phone calls from prospective clients to determine project scope and consult with Project Managers to determine fixed or estimated fees.

Develop maintain proposal templates in Microsoft WORD

Organize and maintain files for proposals sent

Coordinate proposal formatting, writing, editing, and proof-reading efforts with team members

Research record maps from County web sites including Assessor’s office, and Public Works Departments. Print relevant backup data for proposal file.

Use Google Earth Pro to create KMZ files and JPG images of project sites to be sent with proposals.

Edit images in Adobe Acrobat

Deliver proposals to prospective clients in digital format

For new projects, assign new project numbers, create project folders with backup research and data, coordinate insurance certificates with carrier (if requested).

Coordinate signed proposals and new job numbers with Controller for entry into Quickbooks.

Qualifications

Bachelor’s degree or expert technical writing skills

Minimum of two years of experience coordinating and writing technical proposals for an engineering, construction or professional services organization

Strong written and oral communication skills

Proficient in Word, Excel, Outlook, PowerPoint, Adobe Acrobat

Understanding of marketing strategy and methods

Understanding of technical terminology (civil engineering & land surveying)

Ability to manage multiple projects simultaneously, and deal with changing priorities
