The Regional Support Manager is directly accountable for all property operations while serving a property or assignment. Assisting in the necessary job functions for assorted office positions may be required due to a leave of absence, vacant position and a new acquisition or special need at a given community. The purpose of the RSM is to effectively train, manage and coordinate persons, activities and available resources in order to accomplish corporate objectives as set forth by the Senior Vice President of Property Management. These objectives will include maximizing occupancy levels and property values, assist in training and mentoring, on-boarding new employees, and serve the acquisitions teams as needed. Once assigned to a job site, the Regional Support Manager will report to the site supervisor of that community or portfolio. In addition to other responsibilities, the Regional Support Manager will act as a troubleshooter and mentor to new employees within the Northern California Region.

Responsibilities:

Financial

Assists in formulation of Must accurately control expenses and income within established budget and policy guidelines. Responsible for maintaining the petty cash card and safeguarding property funds. Responsible for creating purchase orders and processing invoices weekly. Responsible for performing scrub re-classes at month end and preparing the monthly TREND report and CNOI Projections.

Ensures that all rents are collected and posted in a timely Ensures that all bank deposits are made immediately through the company software.

Performs evictions, serves legal notices for non-payment of rent and non-compliance breaches.

Responsible for communicating with vendors and contractors regarding work scheduling, billings, vendor relations and certificates of Approves and submits all invoices to corporate office for payment

Personnel

Hire and supervise all on-site staff in order to achieve operational goals of assigned. This includes new employee orientation, instructing and advising on-site staff of employee procedures and carrying out all personnel related matters according to Federal, State, Local and Company guidelines.

Conduct and communicate regularly scheduled performance reviews, review and approve time-cards and manages terminations.

Conducts on-going training with office staff such as leasing paperwork, workplace safety, and any other type of training that may be needed on a daily basis.

Administrative / Office

Ensures that lease files are complete and that completion of leases is being executed.

Responsible for office opening on schedule as well as the condition of the office and model apartments.

Attends scheduled corporate management meetings.

Maintains records on all aspects of management activity on a daily, weekly and monthly basis. Submits required reports to corporate office on a weekly and monthly basis.

Supports the Regional Property Manager with miscellaneous administrative support including, but not limited to, completing the software-backend measurements on the Tri Annual inspections, formatting TREND Reports, reviewing Monthly Bonus Submittal for accuracy, reviewing monthly CNOI Projections for accuracy, ensuring timeliness of bill paying on-site, assist in monitoring Employee Reviews, Open Position Tracking and timely response to on-site inspection follow-up. Set up monthly Community Manager Meeting as well as the quarterly Maintenance Supervisor and Assistant Manager meetings.

Resident Relations

Maintains positive customer service attitude.

Periodic inspection with residents of move-in/move-outs.

Review all notices to vacate to determine the cause of the move-out.

Initiate and implement procedures to improve resident communications, such as complaints, service requests, etc.

Maintenance

Physically walk and inspect property on a regular basis.

Updates board indicating vacancy status on a daily basis. Coordinates with maintenance and make-ready staff to ensure timely recondition of apartments after move-out.

Account for all maintenance related projects and ensure that each is carried out in a safe and timely manner

Marketing / Leasing

Conduct market surveys and provide trend report information. Shop competition and be aware of neighborhood market conditions.

Show property to prospective residents. Complete all associated paperwork.

Have comprehension of social media campaigns and assist the community in maintaining their social media sites.

Safety

Reports all liability and property incidents to the corporate office immediately.

Ensures that all workers compensation claims are reported and proper paperwork is completed.

Additional Responsibilities

Conduct all business in accordance with Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments.

Must strictly follow and be proficient in company policies and procedures.

Must hold all information strictly confidential and always display behavior which supports the companys values, mission and Employee Handbook Guidelines.

Must have a strong skill set in the companys software and be proficient in the use of the company technology.

Must represent the company with the utmost respect and behave professionally both inside and outside the scheduled business hours as well as on-site and outside the normal work locations.

Must have strong written and verbal communication skills and the ability to provide and receive feedback for the communities improvement.

Coordinates and executes resident retention events on the property.

Must be available for unplanned emergencies.

Act as the Regions Ambassador to on-board new team members and act as liaison in ensuring their training is scheduled timely.

Act as a resource for the team members in the Region to provide support and liaison with the Corporate Office.

Performs other duties as assigned.

Qualifications:

High school graduate

5 years of experience in property management.

Experience with over 250 units.

Highly skilled in Yardi, YieldStar, PayScan, Rent Cafe, and Microsoft Office.

Proven leader with ability to react quickly, identify challenges, and implement effective action plans.

Must have valid driver's license and automobile insurance.

Must be flexible and available for extensive travel within the Northern California Region.
