Our 103,000 colleagues serve people in more than 160 countries.Administrative AssistantJob DescriptionWe are looking for a high caliber Administrative Assistant to provide executive level support within our Medical Devices Supply Chain/Operations Division. This role will be supporting the DVP Supply Chain of Medical Devices and is in a highly visible, fast paced corporate environment.Responsibilities include:

Administrative functions: answering phones, calendar management, scheduling travel, meeting scheduling, scheduling caterings, ordering supplies, onboarding of new employees, coordination of supply chain relocations/workspace, processing expense reports, large meeting/event planning, creating or modifying business documents, preparing presentations from source materials, handling teleconference setups, and acting as a liaison for remote access issues.

Coordinates agendas, presentations and logistics for all daily meetings that are in-person or via teleconference, staff meetings, monthly supply chain business meetings, quarterly global town halls, quarterly team meetings, talent management reviews, and finance reviews.

Maintains reoccurring reports such as requisition requests, safety programs, project reviews, monthly business reviews, and organizational charts.

Uses and understands Microsoft Office Suite and other business-specific software, including but not limited to, Concur (travel and expense system), Workday (employee database, performance management), Kronos (time keeping).

Coordinates yearly programs including presentation materials and logistics.

Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.

Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable).

Uses advanced software skills to perform work assigned.

May train/coordinate work for new administrative assistants.

May assist, facilitate and coordinate site specific employee activities

Performs other duties as required.

Consistently interacts with high-level executives.

Advanced knowledge and understanding of business processes and requirements.

Consistently handles confidential or business-sensitive information.

Data is typically organizational or multi-dimensional.

Maintains and manages calendar, including meeting and travel scheduling and domestic and international travel arrangements.

Proactively identifies and resolves scheduling conflicts.

Primary point of contact for manager’s schedule.

Qualifications:

High School diploma or equivalent. Some college preferred. 5+ years previous executive level admin experience or equivalent.

Operates with little instruction and minimal supervision.

Advanced knowledge of Microsoft Office Suite, Advanced Power Point, Adobe Acrobat, Visio and Outlook.

Preferred previous medical device industry experience.
