Updates and maintains all information related to asset information, bills of materials, safety procedures, preventative maintenance programming and master maintenance planning in the CMMS (Computerized Maintenance Management System).

Major Activities
  • Manages work orders in the work order system, ensure proper creation, planning, update and closure of work orders. Assesses the scope of work and determines to which Technician the work order should be assigned.
  • Assists with assignment and scheduling of service personnel, or routes work to requisite vendors.
  • Orders necessary materials from suppliers, assisting with the request and processing of Purchase Orders for materials needed and/or 3rd party services needed.
  • Acts as a main point of contact and keeps customers/requestors informed of the status of work, schedules, completion and closeout, including soliciting feedback from the end user to support continuous improvement.
  • Performs spare parts inventory management and auditing on a regular basis; publishes spare part cycle count results to the facilities management team.
  • Maintains Facilities budget tracking.
  • Measures and publishes facilities and engineering metrics to the leadership team; interprets data and recommends actions based on these findings.
  • Performs regular data analysis on parts/assets and recommends software enhancements and process changes.
  • Provides software training to end users and new CMMS Administrators; serves as liaison for problem solving and escalation. Educates staff on the CMMS functions and best practices for performing tasks.
  • Completes other related duties as assigned.

Minimum Special Certifications or Technical Skills
  • Computer proficiency to include input of data, development of reports, and other use of MS Office applications

Minimum Type of Experience the Job Requires
  • 2-4 years of related work experience preferred. Demonstrates an understanding of facilities management trades, common repairs, parts and services

Other
  • Effective time management abilities to plan and manage work volume and meet specified deadlines as well as respond to urgent matters as necessary
  • Ability to work independently and as part of a team to support the completion of work assignments in order of priority
  • Effective written and verbal communication skills to fully understand and explain related issues and relate positively with a varied audience of internal and external parties
  • Demonstrate strong customer service skills and orientation.

Preferred Education
  • High school education or equivalent preferred; additional related training is a plus

Physical Requirements
  • Infrequent light lifting/carrying (of supplies, etc.) weighing up to 20 pounds
  • Regular sitting to perform office tasks and work on a computer
  • Regular standing/walking, primarily in the warehouse
  • Occasional bending, stooping, kneeling and twisting
  • Repetitive motion and substantial movement of the wrists, hands and/or fingers

Work Environment
  • This position is based in the Maintenance office setting but will have regular exposure to the warehouse, which features extreme temperatures dependent on external climate and proximity to dock doors/exits
  • Ongoing exposure to moderate noise level from DC conveyor/sortation system and powered industrial equipment in the warehouse
  • Will regularly be exposed to the usual lubricants and cleaning agents required for performing normal preventative maintenance. Occasional exposure to fumes and airborne particles
