SummaryAdministrative support for the Vallejo /Toronto Division. Responsibilities include technical typing, computer support, and administrative dutiesEssential FunctionsAnswer switchboard, page and take messages as needed; receive visitors in a professional mannerDistribute incoming and outgoing mail, fax, UPS, overnight packages, etc.Routine clerical and administrative duties required.Maintain proper inventory of office supplies, and order as needed.Coordinate office services and repairs to copy machine, fax, typewriter, etc.Data entry tasks as assigned.Handle all routine accounting questions - i.e. questions from Toronto accounting, basic questionsfrom vendors, etc.Liaison between Vallejo personnel and Human Resources Department in Morgantown. Assist employeeswhen completing necessary forms as requested, such as benefits, leave requests, checkdeposits, flex credits, inc. Perform duties as assigned by the HR Department. Ensure allnotices received from the HR Department are posted in the designated areas for review byall employees.Knowledgeable on the basics of CA labor law.Assist Morgantown HR with open enrollment and new hire enrollment.Maintain employee training files. Responsible for critical production files (work orders, heat files, archives, etc.).Responsible for all Document Control to revise, distribute, and upload Work Instructions, SOP's, Quality Manual and Forms and any other controlled documents.Support production with customer order managementgenerate, maintain and revise customer orders as needed. Responsible to maintain electronic signage and post information for employee communication.Enter titanium lab samples into STAR and ship samples to Morgantown for analysis. Ship applicable samples to outside labs for trace analysis.Preparation of certifications for all shipments, ensuring accuracy and obtaining final approval by the Quality Manager. Assist customers with questions regarding certifications when requested.Computer support for Vallejo personnel. Prepare spreadsheets, charts, and reports upon request. Maintain database of all customers for easy access when needed, i.e., mail merge. Assist in maintenance of computer programs for office staff, including suggestions/instructions to help improve reporting functions and communication through computer programming. Keep up on state-of-the-art programming which may help with daily functions. Contact person between MIS Coordinator and Vallejo offices with regards to MIS requirements.Produce packing slips and bills of ladingEducation and ExperienceHigh school diploma or G.E.D. equivalent.Minimum two years office or related experience with responsibility for payroll/HR task as assigned.Competent in computer programs, in particular Microsoft Office. Expert in Excel and Microsoft Word programs. Ability to prepare spreadsheets and provide clear and precise instructions on such programs to the end-user.Ability to work with a diverse group of people. Must be able to prioritize multiple tasks. Able to work independently with minimum supervision.
