The Lead Shipping & Receiving Clerk is responsible for the job duties of the Shipping department in support of shipping perishable commodities to our Customers, and receiving of such commodities from our multiple growers/ locations.
Lead Clerical Team shipping/receiving functions with strong emphasis on proactive communication, problem solving, and exceptional Customer Service. Must carry strong discipline on maintaining accurate paperwork exchange and verification of work assigned to forklift loading Team. Clerical Team is held accountable for strict enforcement of the correct products loaded on to Customer orders and verify all Sales Team customer-specific loading instructions are met.
Excellent Customer Service to all other company departments. This includes timely, accurate notification to all appropriate departments on any/all order discrepancies for prompt buyer communication of any/all issues.
In the case of food safety recall, must be able to quickly identify all crops/presentations impacted, grower/field trace back, and accurately identify location(s) of all shipped to all customers.
Proactively monitor inventory, track daily product inputs to effectively coordinate on-time FOB loading and evening local delivery loadings. Focus on leading Clerical Team to make accurate customer on-time loading appointments.
Maintain customer-specific logistic information database, readily available for Clerical Team to proactively utilize to schedule appropriate FOB/local delivery truck loadings.
Establish/maintain strong rapport with all customer receiving/shipping offices dealt with on frequent basis.
Maintain all international paperwork necessary for customs/export procedures.
Maintain all special instructions in Customer order “Comments” in Famous including lot code info, temperature recorder request, loading instructions.
Schedule any/all logistics for Purchase Order products.
Build nightly delivery truck routes with carriers for maximum deliveries per truck in the most efficient routing.
Maintain all Shipping office related inventory items and re-order in timely fashion to stay in stock.
In Emergencies and if unable to locate management, act as the company representative and make the appropriate call to the Police Department, Fire Department or Medical Emergency services and send email or call Direct supervisor and HR.
Process reconciliation of product inventory for all Warehouse locations.
Coordinate with Warehouse Manager on lost and damaged inventory.
Maintain Month-end inventory for all Warehouse locations. Verify/report/enforce accuracy.
Other duties as assigned.
