Position: Administrative Assistant (PCGJP00001164)Duration: 08/16/2021 to 12/31/2021Location: Winters, CA 95694Position Summary:Under the direction of Academy leadership, supports company-wide learning efforts and focuses on the operational and logistical tasks within the end-to-end process. This position will work closely with Curriculum and Delivery teams, training participants, Lines of Business, and other Operations staff.Job Responsibilities:- Order, produce and prepare training materials and procedural documents
- Assist with sending course communications such as reminder emails, notifications and registrations
- Responds to various inquiries from internal and external customers and ensures timely response.
- Participate in project or ad hoc requests as needed (i.e. filing, scanning documents, producing materials, coordinating meetings, and entering data)
- Navigate systems to research course details (e.g. look up session schedules, enrollment and other details; access and print rosters; and pull basic reports such as Sessions, Enrollment and Completion reports)l
- Coordinate logistics such as catering, room booking and room set-up
- Manage and track inventory, cost and assets, including the processing of charges in Expense Reporting System
- Provide iPad support such as uploading materials and preparing iPads for class
- Knowledge of Microsoft Office Products—for example, Excel, Word, Power Point, and Visio—as needed to perform at the job level
- Competency in taking on new opportunities and tough challenges with a sense of urgency, high energy, and enthusiasm
- Competency in developing and delivering multi-mode communications that convey a clear understanding of the unique needs of different audiences
- Competency in consistently achieving results, even under tough circumstances
- Ability to lift up to 30 lbs
- Competency in adapting approach and demeanor in real time to match the shifting demands of different situations
- Competency in building partnerships and working collaboratively with others to meet shared objectives and deliver customer-centric solutions
