Job Overview
The Sales Assistant is responsible for creating an exceptional first impression for everyone entering the Sales Department while providing administrative assistance to the Sales Department and the Director of Sales.
Duties and Responsibilities
General office duties including answer incoming telephone calls, sorting and collecting mail, sending faxes, emails, etc.
Provide administrative support to the Sales Department
Greet and assist those entering the Sales office
Create and print door slips and update reader board daily
Attend monthly Safety Committee Meeting as a representative of the Sales Department
Gather contact information and inquiry/lead information and forward to the appropriate Sales Manager for follow-up
Assist with tentatively holding rooms and/or event space for bookings in Delphi when Director of Sales and sales staff are unavailable
Assist guests and in-house groups with special requests
Plaza Club/Ramada Rewards, Meeting Planner Incentive Programs track points, newsletter, luncheons, certificates, new memberships, assist with constant contact e-marketing campaigns, rewards point redemption, etc
Collaborate with front desk regarding reports for the sales office
Order office supplies and maintain PAR levels for all supplies, sales inventory and marketing collateral materials
Maintain sales office checkbook
Complete monthly P&L statement from sales office
Print 10 day event posting and distribute to other staff members
Keep and distribute minutes from weekly Sales Department meeting
Maintain reports as assigned by Director of Sales
Assist with email and e-marketing campaigns
Compile and input information to assist Director of Sales and Sales Managers with year- end budget recap
Research and gather information on local competitors and other regional/national hotel markets
Assist Sales Department in development of flyers, sales collateral, promotions, etc.
Assist with preparations for bridal couples, weddings and special events
Other duties as assigned by Director of Sales
