- Answer incoming calls and transfer to the appropriate parties; screen calls and take messages when needed
- Greet visitors in a pleasant manner, identify the nature of their visit, and provide appropriate direction
- Coordinate schedules and organize internal/external meetings
- Set up conference rooms, prepare meeting materials, and arrange catering orders
- Maintain a neat and tidy appearance in all office common areas
- Assist Accounting department with invoice processing and data entry
- Process and distribute incoming mail; assemble and prepare outgoing mailings
- Order and stock supplies for kitchen, copy room, and office equipment
- Provide scanning and filing assistance to team; retrieve information as requested
- Serve as first point of contact for all internal administrative inquiries and questions
- Other administrative duties/projects as assigned.
- Bachelor's degree or equivalent practical experience
- Minimum 2 years of reception or administrative-related experience
- Prior experience in Commercial Real Estate and/or with Accounts Payable processes is a plus
- Excellent attention to detail and ability to organize and prioritize tasks
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office and familiarity collaboration tools like Zoom and Slack
- Experience with payment processing tools like QuickBooks and Avid Exchange is a plus
