The Data Technician for the Early Intervention Department provides support to the EI Service Coordinators and the EI Director to ensure accurate and timely data is captured in the Early Intervention data system. Reception/Front Desk management for the Early Intervention Department including answering the phone and greeting visitors. Work assignments may vary to meet the needs of the Early Intervention program.

Essential Functions

Navigates and updates Early Intervention records in database.

Maintains and creates Master Record data consistent with department process and standards.

Maintains records for children who are not eligible.

Chronologically and accurately files materials/documents in Early Intervention master records according to department file systems, keeping current within 30 days.

Completes electronic records process for closed Early Intervention records.

Generates discharge letters for all families exiting Early Intervention program.

Reviews files for appropriate and current documentation.

Tracks and sends all Early Intervention Status Updates.

Responds to any request for records and distributes records within 10 days.

Answering general phone calls for the Early Intervention Department.

Greeting and signing in visitors to the Early Intervention Department.

Stamp/log/distribute incoming mail and faxes.

Providers back up support to Early Intervention Intake Specialist as needed.

Other Functions

Working knowledge of Excel spreadsheets.

Participate in Departmental meetings, trainings, and shared tasks as required.

Participate in activities required of employees of North Metro.

Other duties as assigned by the Early Intervention Director or EI Associate Director.

Adheres to the concept of confidentiality related to staff members, children, families, and service providers.

Works independently on assigned tasks and projects.

Meets department expectations for response to all correspondence within 24 hours of receipt to include voicemail, email, and requests for information.

Provides back up support to Service Coordinators; is trained in Service Coordinator competencies and family rights.

Knowledge, Skills, and Abilities

Strong written and oral skills and abilities.

Competencies in computer operation, typing, filing, faxing, and receptionist duties.

Organizational skills and abilities in facilitating and work within teams.

Ability to manage a multifaceted position.

Strong commitment to quality supports and services.

Ability to physically carry out work assignments.

Education/Experience

High School graduate or equivalent.

Three years general office experience.

1 year experience working with computer systems.

Working Environment

Mainly office locations with travel required to local meetings/trainings.

Tools and Equipment

Pencils, pens, calculators, automobiles, cellular phones, computer, typewriter, photocopier, fax machine, message machine.

Physical Activities

Use computer for periods of time up to two hours throughout an eight to ten hour day.

Ability to stand and walk on hard surfaces for periods of time up to one hour throughout an eight to ten hour day

Ability to lift/push/pull/carry various objects of 10 “ 20 pounds frequently and 30 -40 pounds occasionally.

Ability to reach to shoulder level and above

Ability to bend at the hips and knees

Drive various distances in own vehicle in all types of weather conditions
