Description: Selected candidate will primarily support a Rotary and Mission Systems (RMS)Vice President as an Administrative Assistant Specialist at our Littleton, CO location with the potential to support additional executives as identified. The successful candidate is a self-starter who possesses excellent communication skills and composure. Individual will perform executive level administrative duties and will interface with cross-function executives and senior management acting as an ambassador for the Vice President's organization and draw on demonstrated leadership and extensive administrative experience to advance organizational objectives. Prior executive level experience will prove beneficial in support of the Vice President’s office.Basic Qualifications:The role involves a high volume of calendar management activity; attendance and participation will be needed at meetings to record actions and then follow-up to track closure. The candidate must use initiative and discretion when receiving and handling email, telephone calls and other requests. Standard administrative duties include assisting in preparation of briefing materials; set up and support of a variety of meetings and seminars involving Lockheed Martin and external attendees including leading refreshments, electronic equipment, escort requirements and other tasks as necessary. Manages executive calendars, arranges meetings, makes travel arrangements and interfaces with executive's team members as well as program management. Possesses high level of domestic and international travel arrangement experience as well as follow on expense reporting utilizing Concur to include reconciling corporate travel card. Utilizes personal computer and standard desk top software (advanced skill set of Microsoft Office Suite such as Outlook, PowerPoint, Word, Excel) to access Lockheed Martin systems, compose correspondence and create presentation charts. SharePoint and internet search experience a plus. Multi-tasks effectively and resolves priorities in a fast-paced, dynamic work environment with effective methods of managing time with limited supervision. Partners and coordinates with Program, Line of Business and their administrative staff members; proactively collaborates with same with a highly-motivated, can-do spirit. Demonstrates initiative, discretion and management of email, telephone calls and other requests. Ensures all correspondence are accurate, complete and properly handled. Assures administrative detail on all projects: updates and statuses delegated tasks to ensure progress to deadlines; handles all inquiries as appropriate to maximize leaders' time efficiency; screens visitors to control interruptions and preserve leaders' schedules; provides meeting backup data as needed and arranges all amenities for same. Performs additional special assignments as required in support of program and executive staff needs.Desired Skills:Possess excellent interpersonal skills, both oral and written, and the ability to work well with all levels of internal and external management and staff. Demonstrated executive presence through professional presentation and support a very professional environment Experienced in Microsoft Office Suite (Outlook, Word, Excel, Power Point) with advanced level of competency. Possess working knowledge of SharePoint and Internet research skills. Ability to coordinate complex travel arrangements and reconciliation of expense reports.Concur experience a plus. Demonstrate/use outstanding judgment, dependability and the utmost discretion and confidentiality. Must be flexible to support intermittent extended work hours, when needed, and work independently and execute projects with minimal supervision. Self-motivated to handle and/or delegate initiatives in leader's absence. Must be able to multi-task and complete assignments accurately and on time.
