IT Project Lead, Copy Approval System

Kelly Science and Clinical FSP is currently seeking an IT Project Lead for a long-term engagement in Jacksonville or remote with one of our Global Pharmaceutical clients. This person will join our Kelly FSP (Functional Service Provider) division, a managed solution provider and business unit of Kelly Services, Inc. RESPONSIBILITIES:
  • Lead projects for copy approval system updates, including vendor releases, business-led initiatives, and user feedback.
  • Define, coordinate, and execute project activities including scope, milestones, schedule, resources, and risks.
  • Coordinate and execute validation and change management activities for system update implementations, including creation of all required documentation
  • Create and coordinate execution of user test plans and test scripts, and reviews results for acceptability
  • Actively track project progress and routinely report project updates to all stakeholders
  • Establish and maintain relationships with all stakeholders
  • Develop and maintain cross-functional relationships
  • Work with team to identify and address critical path or roadblock issues and develop mitigation plans accordingly
  • Work with global process SMEs to complete business impact assessment for all system updates
  • Collaborate with global process SMEs to co-create communication and training materials for system updates
  • Lead sessions to discuss routine releases/enhancements from vendor to understand impact to business and required documentation
  • Take initiative to proactively develop and implement process improvements to make business practices more efficient
  • Develop and maintain system administrative resources and guides
  • Create new user accounts and modify user accounts
  • Review system license allocation and maintain users
  • Provide system administrative support to users
  • Build, maintain, and apply a working knowledge of copy approval processes and procedures
  • Build and generate reports to support metrics and audits based on business needs
  • Provide guidance and direction to users in the resolution of reported problems and issues
  • Act as a liaison between the business and software vendor to communicate all technical issues

QUALIFICATIONS:
  • Bachelor's degree in science, technology, business-related field or equivalent work experience required
  • Business and technical experience (minimum of 3 years) required with 1-2 years in a regulated industry
  • Project management experience (minimum of 3 years) required
  • MS Office Suite (Outlook, Word, Excel, Visio, PowerPoint, SharePoint, etc.) intermediate skills required
  • Demonstrated time management, analytical, critical thinking, decision making, and problem-solving skills
  • Demonstrated technical proficiencies
  • Strong communication (oral and written) and organizational skills required
  • Continuous improvement and results driven mindset required
  • Ability to manage multiple responsibilities and shift priorities as needed
  • Veeva PromoMats or other Vault experience highly preferred
  • Agile system preferred
  • Knowledge of data collection and reporting practices required
  • Interaction with various cross-functional partners including Marketing, Quality, and R&D stakeholders on a regular basis. Prompt, effective, and efficient communication skills via instant communication (IM), email, and phone are a must.
