Location: Naples, FL

Main Objective: As a key contact representing the Arthrex Regulatory Affairs and Quality Assurance departments worldwide, the Sr. Administrative Assistant will provide liaison, coordination, and administrative support to the VP, Regulatory Affairs and Quality Assurance and RAQA Leadership Team.

Essential Duties and Responsibilities:
  • Establish and promote professionalism, collaboration, and global fluency in the coordination of departmental activities.
  • Conduct intake and distribution of communication (calls, emails, visits) for the VP, RAQA.
  • Coordinate, plan and administer meetings and trainings as requested by the VP, RAQA and Leadership Team. This will include scheduling personnel in multiple regions and time zones.
  • Prepare presentation materials, record and distribute meeting minutes and action items.
  • Facilitate cross-functional communication with Arthrex departments globally, including but not limited to engineering, operations, finance, legal, marketing, product management, medical education, HR, Regional heads and other departments to clearly convey information or needs from RAQA team.
  • Facilitate any communication with external third parties, agencies, suppliers and vendors to ensure information or needs from or to the RAQA team are fulfilled.
  • Welcome and provide area tours, candidate interviews, or personnel introductions to Arthrex visitors as appropriate.
  • Maintain databases and spreadsheets for departmental operations as requested by VP RAQA.
  • Submit expense reports for VP RAQA and Directors as requested.
  • Compile monthly highlights from Corporate and Regional RA and QA team for presentation to VP RAQA.
  • Manage schedule of conference room(s).
  • Provide training and guidance to new employees throughout the onboarding process.
  • Prepare monthly, weekly and special or one-time reports or projects as requested by the VP RAQA.

    Education and Experience:
    • High School diploma or equivalent required.
    • Bachelors degree preferred.
    • At least 3 years of successful experience in administration, customer service, or relevant field required.
    • Experience providing support to leadership in the Medical Device, Pharmaceutical, or other Regulated Industry highly desirable.

    Knowledge and Skill Requirements/Specialized Courses and/or Training:
    • High degree of enthusiasm and positivity for Arthrex Global initiatives.
    • Collaborative approach with excellent professional presence. Ability to develop and maintain positive working relationships at all levels and across regions.
    • Superior verbal, written, and grammatical skills in English. Additional language(s) highly desirable.
    • High degree of organizational skills with a sharp attention to detail and the ability to handle multiple priorities simultaneously in a dynamic environment.
    • Impeccable sense of discretion, respect for confidentiality, and ability to preserve and protect sensitive and confidential information.
    • Ability to conduct research, quickly understand and accurately process information.
    • Demonstration of commitment to Arthrex Mission, Vision, and Values.

    Machine, Tools, and/or Equipment Skills: Expert in Microsoft PC based programs (MS Office: Word, Excel, Power Point, Outlook, Project), Enterprise software, and support technology such as laser printer, scanner, copier, telephone to facilitate Global communication.
