Job description

Local Family Owned Roofing Contractor is seeking a professional and friendly Receptionist to serve as the first point of contact for customers and visitors.

The ideal candidate will be responsible for managing the front desk, providing administrative support, and ensuring the smooth operation of daily office functions. This role is critical in creating a welcoming atmosphere and maintaining the company’s reputation for exceptional client service. Pay range $15/hr-$17/hr based on experience. Regular increases based on performance.

Key Responsibilities:

Manage Phone System: Answer, screen, and direct incoming calls, taking messages when necessary, and providing general information about the company’s services.

Scheduling: Maintain and coordinate the appointment calendar, scheduling project assessments, meetings and showroom appointments. Enter information for each client accurately in our scheduling system.

Greet Clients & Visitors: Provide a warm and professional welcome to all clients, visitors, and callers, directing them appropriately.

Client Communication: Learns and maintains general knowledge of company products and procedures in order to answer callers and customers’ questions and provide appropriate information to callers. Assist with email correspondence, distribute mail, and ensure timely responses to inquiries.

Administrative Support: Assist with filing, data entry, scanning, and preparing documents as needed.

Office Organization: Keep the reception area and conference rooms clean and organized. Order, maintain, and distribute office supplies, ensuring necessary items are stocked and available as needed.

File Management: Organize and maintain files and documents in an orderly manner.

Coordinate Deliveries: Receive, sort, and distribute incoming mail and packages; manage outgoing mail.

Requirements:

Excellent verbal and written communication skills

Strong organizational skills and meticulous attention to detail, ensuring accuracy in all tasks.

Ability to multitask and prioritize effectively.

Proficiency in Microsoft Office Suite and other relevant software, with a willingness to learn new tools as needed.

Friendly, professional demeanor with a strong focus on customer service and a commitment to creating a positive office experience.

Qualifications:

A high school diploma or equivalent required

Monday-Thursday availability from 8 am-4:30 pm, Friday 8 am-4pm with a 30-minute lunch daily

Bi-Lingual is a plus
