We are seeking a Superstar Office Assistant to join our team and provide general office support as needed in a fast paced, busy work environment. The Office Assistant is the first person our clients and vendors see or speak with, so it is imperative that they are polished and operate with the utmost level of professionalism at all times. Our ideal candidate must be organized and able to perform intermediate computer related tasks. Training is provided but a pro-active approach to learning new responsibilities is expected. Client and co-worker interaction is mandatory, so a positive and friendly attitude is critical.
As the Office Assistant you will be responsible for greeting and assisting customers, vendors, trades, and any other visitors. You will answer incoming telephone calls, determine the purpose of the call and forward the call to the appropriate personnel or department. You will also work directly with Project Management, ensuring prompt and accurate communications with all of our trades and vendors. In Office Assistant role, you must be a positive customer-service-oriented team player. You must present a professional image and possess excellent written and verbal communication skills. The Office Assistant is expected to grasp a practical and technical understanding what we do, the services and products we provide as well as the product applications and must exhibit an ability to convey these details over the phone to customers.
Other responsibilities and qualifications include:
- Exceptional verbal and written communication skills - we want a people person!
- Retrieving messages from voicemail and forwarding to appropriate personnel
- Updating appointment calendars and handling scheduling duties
- Receiving, sorting, and routing mail and publications
- Maintain the appearance and cleanliness of our showroom
- Welcome and greet all visitors to our showroom
- Must be able to lift and carry 30-40 pounds
- Must have at least intermediate knowledge of Word, Excel, Outlook, and PowerPoint
- Knowledge of clerical procedures and protocol
- Must be willing to submit to a background check
- High School diploma or equivalent required

- Must be a problem solver
- Team oriented, patient, calm under pressure, and able to work independently
- Provides general assistance as needed in all aspects of the business, working to help the team wherever needed.
