Executive Assistant /Office Manager

The Executive Assistants primary function is to assist the Managing Partner in providing administrative and accounting support for Keystone Custom Homes LLC. Keystone is the single family division of Landmark Properties Inc.

Reports to: Managing Partner and Partners for Keystone Custom Homes LLC

Direct Reports: None

Daily Supervisor: Keystone Managing Partner

Job Classification: Salary, Exempt

Roles and Responsibilities

ï Administration

Greet incoming guests, representing Keystone Custom Homes in a professional and friendly manner

Maintain lobby and conference room furniture and plants

Process all incoming and outgoing mail and packages

Manage Keystone Basecamp Program with job tasks, forms, documents, and files

Run errands as directed by the Managing Partner

Make copies, scan and fax as requested

Maintain appropriate inventory of office supplies

Manage Keystone email network, social media accounts, and coordinate with web host for website

Offer refreshments to any office guests

ï Construction Administration Support

Assist Managing Partner with budget creation, partner and lender project packages

Maintain and organize home selection samples for customers and agents

Assist Managing partner in creating documents in Microsoft PowerPoint and Microsoft Excel

Maintain a positive relationship with the members of the Landmark Properties and Landmark Construction staffs

Make copies of blue prints and site plans for projects

Perform light maintenance around the facilities as necessary (i.e., changing light bulbs, watering plants)

Maintain job folders containing permits, plans, contracts, and selection sheets

ï Accounting Support

Manage invoices from vendors for accounts payables

Code and Enter accounts payables into Quickbooks

Scan all invoices into Quickbooks

Create and provide Budget vs Actual Reports for Managing Partner for jobs in production from Quickbooks

Maintain long term storage for all job financials and filings

Maintain all vendor insurance certificates and provide reports needed for annual audit

Help process checks and mailings for vendors

Requirements

High school diploma required

College degree preferred

Experience in administrative roles is preferred

Strong organizational, bookkeeping and decision-making skills

Strong internet, word processing, and spreadsheet skills

Must have excellent communication, time-management, and people skills
